About the role

Position Summary: The incumbent is responsible for providing administrative and clerical services in an effective and efficient manner, and other duties as assigned with responsibility including opening/closing office, greeting the public, operating switchboard, processing daily mail, general office duties, providing clerical support for administration and other agency staff, maintaining inventory, public and agency relations, general abilities and other related duties. Some Duties include: Carries out prescribed procedures for opening the office in the morning and closing the office at the days end; Directs visitors to appropriate personnel; Maintain security by following procedures and controlling access; Answers, screens, and forwards incoming telephone calls to appropriate personnel; Receive and sort daily mail/delivers/couriers and distribute to appropriate personnel; Maintains overall appearance of the office; Schedules and confirms appointments (meetings and visitations); Performs clerical duties; Maintains and update filing, label, copy, and retrieve documents (SBCFS Sub-Office); CFSIS and data entry (SBCFS Sub-Office); Maintains a list of all inventories signed out by staff; Maintains confidentiality at all times; Must have strong knowledge of Microsoft Office; Posses’ excellent communication and interpersonal skills.

Qualifications: Minimum Grade 12 or equivalent, supplemented by a 2-year Office Administration diploma, or equivalent combination of education and experience. Minimum of 2-years of related work experience. Must have a valid Manitoba Drivers Licence, access to a vehicle and willing to travel. Must pass a Criminal Record Check, Vulnerable Sector Search, and Child Abuse Registry Check. Have working knowledge of the CFSIS System would be an asset. Knowledge and respect of First Nations traditional culture and traditional philosophy. Ability to speak and/or understand the Ojibway language would be an asset.
