We are seeking a highly skilled Executive Assistant to provide strategic and administrative support to the CEO. This role is pivotal in ensuring the CEO’s effectiveness, advancing organizational priorities, and fostering strong relationships with stakeholders. This position will directly report to the CEO.
Key Responsibilities
Strategic & Operational Support
- Partner with the CEO to advance strategic initiatives aligned with the organization’s mission, vision, and goals.
- Monitor progress on key priorities, prepare materials for decision-making, and ensure timely execution of CEO-led initiatives.
- Conduct research, analyze data, and prepare reports and recommendations to inform organizational strategy.
Executive Administration
- Manage the CEO’s calendar, travel, and expense reporting, ensuring all logistics are handled efficiently and in compliance with company policy.
- Oversee the CEO’s inbox, ensuring timely responses and follow-ups.
- Draft correspondence, prepare presentations, and ensure the CEO is fully briefed for meetings and engagements.
Board & Governance Support
- Organize Board of Directors and committee meetings, prepare agendas and materials, draft minutes, and track follow-up actions.
- Support governance processes and ensure alignment with organizational policies.
Communication & Liaison
- Act as the primary point of contact for internal and external stakeholders, accurately representing the CEO’s vision and directives.
- Maintain effective communication with board members, funders, partners, and senior leadership.
- Ensure professional, consistent, and confidential handling of sensitive information.
Project & Research Support
- Lead or assist with special projects on behalf of the CEO, ensuring successful outcomes.
- Contribute to the development and implementation of organizational policies and procedures.
- Identify risks and opportunities and support proactive solutions.
Relationship & Cross-Functional Collaboration
- Build and maintain positive relationships with board members, donors, partners, and team members across the organization.
- Collaborate with cross-functional teams to ensure alignment on organizational goals and initiatives.
Other Duties
- Provide additional support to the CEO and senior leadership as needed to advance organizational success.
Qualifications & Skills
- Bachelor’s degree in Business Administration, Public Administration, or related field (Master’s preferred).
- Minimum 5 years of experience providing executive-level support, ideally within the nonprofit or corporate sector.
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills, including experience drafting professional correspondence and presentations.
- High emotional intelligence, discretion, and ability to build trust with diverse stakeholders.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
- Experience using AI productivity tools (e.g., ChatGPT, AI-driven scheduling, or automation software) to improve efficiency is an asset.
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and manage sensitive information.
- Flexible approach to work in order to accommodate events, functions, and work activities
- Must be eligible to work in Canada
