The Division of Housing and Ancillary Services strives to provide its residents and student staff with a work environment where academic success and personal growth are promoted. ##Responsibilities

Reporting to the Residence Area Manager, the Student Projects Assistant – Residence Life & Education (SPA) is an advanced student leadership role tasked with strengthening the administrative, managerial, educational, and community building functions of the Residence Life & Education team across multiple buildings within the designated neighbourhood. The Student Projects Assistant(s) will work with the Residence Life Management Team (RLMT) to accomplish summer and yearlong projects as outlined below and new projects that emerge over the summer months and academic year. The incumbent(s) will liaise with key partners on campus and within the residence system in order to coordinate efforts to develop creative and effective programs, student leadership training input, and program materials. The project outcomes aim to support the programming and leadership efforts of the Residence Staff, Sophs, and Residents’ Councils in the upcoming academic year.

Hours per week are as follows:

  • 0-35 hour/week from May 1, 2026 – October 1, 2026
  • 0-24 hours/week from October 1, 2026 – April 30, 2027

Responsibilities:

-Leadership, Supervision & Team Development

  • Facilitate meetings with Residence Staff to ensure effective communication and collaboration
  • Work alongside the Residence Life Management Team (RLMT) to plan team socials and appreciation initiatives

-Community Management & Student Support

  • Maintain a strong understanding of Residence Contract expectations and support students in navigating community standards
  • Identify recurring trends, operational gaps, or systemic challenges within the residence framework and communicate observations and recommendations to the Residence Life Management Team
  • Collaborate with the Residence Conduct Coordinator and members of the RLMT on community trends or emerging concerns

-Summer Programming & Academic Year Support

  • Assist in the welcoming of summer stay students in residence

  • Aid in supporting the RLMT with a variety of summer projects and committee work determined in May.

  • Residence Life supply procurement

    • Collection and inventory of Fire Safety supplies from all residences
    • Collection, inventory, and restock of First Aid supplies for all residences
    • Collection, inventory, and restock of supplies for all programming offices
    • Collection and inventory of programming supplies for all residences (including A/V equipment; lifting up to 50lbs will be required at times)
    • Inventory of Front Desk Supplies for all residences
    • Inventory of building posters and campus maps for all residences
    • Inventory and maintenance of flag supply closet (flags, poles, bases, finials)
    • Ordering supplies necessary for the academic year, accurately documenting orders to keep for inventory
  • Develop and plan the Residence-Based Day Program with the RLMT and Residence Orientation Coordinator (ROC)

  • Prepare informative lobby materials to welcome first-year students to Western (campus maps, bus schedules, residence staff/soph pictures etc.)

  • Maintenance of storage spaces and ensure organized access for RLMT and student staff

  • Maintenance of Staff, Soph, and Council rooms for all residence buildings

  • Assist with planning and execution of Move-In Day programming, in collaboration with RLMT

  • Create buttons required for residence staff and sophs, faculty sophs, and program-related buttons (eg. Ask, Listen, Connect)

  • Work collaboratively with RLMT to provide logistical support with Orientation week programming and execution

  • Assist with Western Launch programming

  • Assist with updating the Community Development Model as directed by the Chair of the Curriculum Committee

  • Assist with preparation and logistics for the August Learning and Development Conference

  • Assist the Community Development Coordinator (CDC) with the Tenant Appreciation BBQ and any other summer or yearlong programming requirements as they arise

  • Assist the Programming Coordinator(s) with feedback and revisions to Residents’ Councils on training, program plans, and budgets

  • Other project priorities as they arise during the summer and/or academic year

  • Coordinate and execute set up and take down for planned programs and events organized by the RLMT

  • Responsible for administrative work as assigned

  • Successful completion of Summer Task List assigned by supervisor

  • Conduct regular touch points through the summer with students in residence

  • Facilitate monthly summer programs for summer student engagement

-Program & Co-Curricular Support

  • Support RLMT, Coordinators, and student leadership groups (Sophs, Residents’ Councils) throughout the year
  • Provide logistical support for campuswide and building specific events
  • Apply risk management principles to program planning and implementation
  • Review programming logs and follow up on staff programming completion and quality
  • Assist with Residence Life initiatives that promote belonging, academic success, and community wellness

-Administrative & Operational Support

  • Maintain strong communication with supervisors through documentation, meetings, and updates
  • Use online systems (OWL, StarRez, MS Teams, Microsoft 365) to support project management and incident documentation
  • Support office administration, data organization, and yearend/transition tasks
  • Build positive working relationships with key partners: Residence Operations, Dining, Facilities Management, and campus offices
  • Complete additional duties and projects assigned by RLMT

Qualifications

Education:

  • Current Western students who will be returning as full-time Western students in the fall and are able to commit to full-time summer hours

Experience:

  • Previous work experience in a similar role or within the department

Skills, Abilities & Expertise:

  • A strong working knowledge of Western’s Residence Life system is beneficial
  • Excellent writing skills, creativity, demonstrated project management and organizational skills are required
  • The incumbent(s) work best within a team environment and are insightful with regards to the varying needs of Residence Staff, Residents’ Councils, Sophs, and the Residence Life system
  • Strong project management, time management, and organizational skills
  • Excellent communication (written and verbal) and interpersonal skills
  • Demonstrated experience working in team environments and with diverse student populations
  • Intermediate proficiency with Microsoft Office and digital organizational tools
  • Excellent organizational and time management skills and ability to assess priorities, work independently to meet required deadlines with conflicting demands and changing priorities
  • Ability to set priorities, delegate effectively and make sound decisions
  • Results-oriented; able to handle many tasks and maintain a high level of individual and team performance
  • Working knowledge and/or experience building teams within a large community of students, student-staff, and professional staff
  • Strong customer service skills to handle inquiries and resolve issues in a professional and timely manner
  • High level of integrity and trust, tact and diplomacy
  • Approachable and understanding individual with a high degree of customer focus
  • Accepting and respectful of different personalities and lifestyles
  • Strong oral and written communication skills with well-developed presentation skills
  • Intermediate computer skills in Microsoft Office
