Marketing and Communications Consultant
About the role
We’re excited to share that we are looking for a Marketing and Communications Consultant to help strengthen how we share our story, engage our community, and support our fundraising and marketing work. This role will work closely with the Executive Director, Fundraising & Development Associate as well as our Fundraising & Marketing Committee. The MarCom Consultant will help CRWC
Assess total communications load and provide overall approach mapped to priorities and capacity. Develop and maintain a practical communications calendar. Support donor communications and stewardship messages. Help prepare fundraising campaign content. Draft and schedule regular emails, which could include quarterly e-newsletters and twice annual fundraising appeals (weekly seasonal content). Recommend and develop social media content on current channels including Instagram and Facebook (including fundraising appeals with weekly seasonal content). Support simple updates to website copy and campaign landing page content. Ensure messaging is clear, respectful and aligned with CRWC’s work. Recommend approach to track basic communications activity and to measure results, including tracking time spent and where efficiencies can be created.
Scope of work: The consultant’s work may include
Drafting donor updates, stewardship messages and effective appeal language. Supporting campaign communications for activities such as Ride for Refuge, year-end giving and other approved fundraising moments. Drafting or adapting newsletter content, social posts and short website copy updates. Helping prepare campaign materials using tools such as Canva, Mailchimp or similar platforms. Supporting privacy-conscious storytelling that protects client dignity and respects client vulnerability Gathering content inputs from staff in a respectful, manageable way. Tracking basic email, social media, website or campaign results using CRWC’s existing tools. Preparing updates on completed communications activity, upcoming priorities and simple performance indicators.
Working model
The role will be focused on a clear set of monthly or quarterly deliverables with the consultant advising on best approach, channels and ROI. CRWC does not expect the consultant to lead a full communications function or respond to unlimited ad hoc requests. A high level regular working rhythm will be discussed and agreed at the start of the engagement. This may include regular weekly or bi-weekly (as agreed) during the end of year busy season planning meetings, a shared workplan and clear approval steps for content.
Light or as-needed support
The consultant may provide light support for advocacy-related communications when a specific need is identified by CRWC leadership. This is not expected to be a major part of the role.
Out of scope
The following are not expected to be included unless separately agreed: Full rebrand or visual identity work. Technical website changes or website rebuild. Paid advertising costs. Translation. Crisis communications. Full public relations or media relations strategy. Capital campaign counsel. Major CRM migration or new technology implementation. Event production management.
Unlimited content requests outside the agreed workplan
Desired experience and skills
The ideal consultant will bring: Experience supporting communications for a non-profit, charity or mission-driven organization. Strong plain-language writing skills. Comfort writing for donors, supporters, community audiences and internal audiences. Experience with newsletters, social media, donor communications and campaign materials. Ability to translate complex work into clear, human-centred messages. Light design and layout skills. Familiarity with tools such as Mailchimp, Canva, website content editors and basic analytics. Sound judgment around dignity, consent, confidentiality and client storytelling. Ability to work collaboratively with a small, engaged team. Comfort working within a defined scope and budget.
Possible success indicators
Successful outcomes may include: A working monthly or quarterly communications calendar. More consistent scheduled content. Timely support for fundraising campaigns. Stronger donor stewardship communications. Basic reporting on email, social, website or campaign activity. Clearer communication flow between the Fundraising and Marketing Committee, Executive Director, staff and consultant.
Budget and Timeline
Approximate budget: $1,500/month for 12 months (with continuation subject to project needs and funding availability) Proposal deadline: August 21, 2026 Interviews: August 31 – September 11, 2026 Target start date: September 30, 2026
Proposal Submission Requirements
Interested consultants should provide a brief proposal that includes: Relevant non-profit or mission-driven communications experience. Proposed approach for the first three to six months. Examples of donor communications, newsletter content, social media or campaign materials. Experience with Mailchimp, Canva, website copy updates or basic analytics. Proposed working rhythm with CRWC. Monthly retainer fee and what is included. Any assumptions, exclusions or recommended boundaries, including planned use of AI platforms.
Selection Criteria
The following table outlines the criteria which will be applied to select the successful proponent.

CRWC reserves the right to reject all or any of the quotes and to cancel the Request for Proposals at any time. CRWC is not obliged to select any consultant because it submitted the lowest bid.

About Christie Refugee Welcome Centre
Located in the heart of downtown Toronto just minutes from Christie/Bloor in the Annex, Christie Refugee Welcome Centre (CRWC) has provided emergency shelter and a warm welcome for refugee families from all ethnic, racial or religious backgrounds for more than two decades.
Approximately 300 homeless refugee claimants (100 families) from war-torn countries world-wide arrive at the Centre each year. At CRWC they receive the care, support and assistance they need to pursue their refugee claim and to reconstruct and begin their new lives in Canada.
