Position Summary

This position supports the successful delivery of projects by managing schedules, cost controls, documentation, and reporting. The role works closely with project managers, internal teams, client representatives, and other project stakeholders to ensure projects remain on track, within budget, and aligned with contractual and reporting requirements.

The ideal candidate is detail-oriented, highly organized, and comfortable coordinating multiple workstreams while providing timely, accurate, and reliable project information.

Key Responsibilities

Project Planning, Scheduling, and Coordination

  • Schedule and coordinate project meetings; prepare agendas, record minutes, and track action items.
  • Develop, maintain, and update project schedules in collaboration with the project team.
  • Prepare and manage look-ahead schedules, identifying key upcoming activities, milestones, and deliverables.
  • Track project progress against baseline schedule and proactively identify and flag potential risks or schedule impacts.

Reporting and Project Controls

  • Manage information transfer and document sharing.
  • Support development of monthly project reports.
  • Produce flash reports and respond to ad-hoc information requests and project updates.
  • Prepare and maintain budget reports and support budget tracking and forecasting.
  • Review, process, create and track invoices and purchase orders.
  • Assist with preparation and the administration of subcontractor and subconsultant agreements.
  • Perform additional tasks and assignments as directed to support evolving project needs.

Requirements:

  • Diploma or degree in Project Management, Engineering or Construction Management, Business Administration, or a related field.
  • Minimum 3-5 years of experience in a project coordination, project management, or project controls role.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); and strong experience with scheduling tools.
  • Experience with Primavera P6 scheduling and resource planning software.
  • Familiarity with budget tracking, invoicing, and contract administration.
  • Strong organizational and time-management skills with excellent attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Proactive problem-solver with the ability to work independently and as part of a team.
  • Comfortable working with deadlines, changing priorities and in multi-stakeholder project environments.

Pay and Benefits:

The estimated base pay range for this position is $65,000 to $85,000 CAD. The salary offered will be dependent on relevant knowledge, experience, and skill level. KP’s total compensation and benefits also includes the following:
