About The Role We’re seeking a highly organized and proactive Executive Assistant to support our Chief Investment Officer and Chief Financial Officer. This role is ideal for someone who thrives in a fast-paced, detail-oriented environment and understands the importance of discretion, strategic thinking, and precision. You’ll play a critical role in managing the CIO & CFO’s schedules, preparing for high-stakes meetings, and supporting investment-related operations and communications.
What You’ll Do Calendar & Meeting Management
- Proactively manage the CIO & CFO’s calendars, including rescheduling meetings due to travel or deal activity
- Gatekeep meeting requests to ensure time is used efficiently and strategically
- Prioritize meetings based on urgency, investment timelines, and executive priorities
- Schedule and coordinate recurring meetings with internal teams, investors, lenders, and external partners
- Send out well-crafted meeting invitations with all relevant details
Meeting Preparation & Coordination
- Ensure the CIO & CFO have access to investment committee materials, financial reports, and deal documentation in advance
- Block prep time on the calendar ahead of key meetings
- Assist in preparing agendas, briefing documents, and supplemental materials for investor and board meetings
- Distribute printed or electronic materials to attendees
- Set up meeting rooms, technology, refreshments, and clean up afterward
Master Calendar Oversight
- Maintain a master calendar of key investment and company milestones, closing timelines, lender deadlines, and recurring financial reviews
- Track dates relevant to acquisitions, dispositions, capital events, and investor reporting
- Ensure visibility into which teams are impacted by key investment activities
Communications & Correspondence
- Draft, edit, and send professional correspondence on behalf of the CIO & CFO as needed
- Liaise with internal investment, finance, and legal teams, as well as external stakeholders
Travel & Expense Management
- Coordinate travel arrangements for investor meetings, site visits, and conferences
- Prepare detailed travel itineraries and include them in calendar invites
- Compile and submit expense reports on behalf of the CIO & CFO
Special Projects & Administrative Support
- Support cross-functional projects such as investment data organization, CRM updates, and document management
- Assist with general administrative tasks including printing, scanning, shipping, and obtaining signatures
- Collaborate with other administrative staff on office-wide needs
- Document Formatting – assist in formatting presentations, reports, and internal documents to ensure consistency and professionalism
- Vendor Coordination – liaise with external vendors and service providers for scheduling, invoicing, and follow-up
- Confidential File Management – maintain organized and secure filing systems for sensitive documents, contracts, and correspondence
Event Support
- Partner with event planning teams to support investor events, board meetings, and companywide functions
What You Bring
- 3–5 years of experience supporting senior executives, preferably in investment, finance, or real estate
- Exceptional organizational and communication skills
- High level of discretion and professionalism
- Proficiency in Microsoft Office, calendar management tools, and document collaboration platforms
- Ability to anticipate needs and take initiative
- Comfortable working in-office and occasionally outside standard business hours
