Job Description

Should the successful applicant be a Unifor Unit 1 bargaining unit member, who meets the eligibility conditions of Article 19.02 of the Unifor Unit 1 Collective Agreement, then the Limited Term Assignment will be defined as a Career Growth Opportunity in accordance with Article 19 of the Unifor Local 5555 Unit 1 Collective Agreement.

The Senior Advancement Analyst will be the principle change-agent of the unit, promoting efficiencies in gift processing and workflow. This position will also be responsible for performing various administrative tasks such as complex and non-routine records duties, including research, analysis, and compilation of data related to the private support (gifts) to the University.Responsible for researching, and accurately entering and maintaining biographic and gift data in the development information system and auditing the integrity of that data. The Senior Advancement Analyst will respect and enhance the donor experience through all activities they perform. Will be required to process sensitive information, and must maintain a high level of confidentiality.

Duties:

  • Coordinate the collection, verification, analysis and reporting of financial data.
  • Develop and maintain processes for various accounting activities within University Advancement.
  • Analyze financial information to aid in the projection of short term and long-term donation trends.
  • Prepare working papers and consolidate information with in accordance with financial auditor requirements in respect of donations.
  • Work in collaboration with University Advancement colleagues, Financial Affairs, external consultants and external Advancement Services peers to determine more efficient methods to record and process gifts in the development information system and streamline the transfer processes.
  • Oversee the management of donor pledges, including delivering regular reminders and special collections, working in coordination with development staff or other parties as appropriate.
  • Coordinate with Financial Services with respect to the administration of gifts of securities to the University.
  • Prepare authorization letters to issue tax receipts to donors
  • Analyze business processes to ensure efficiency and proper controls for accurate financial reporting and the safeguarding of donations.
  • Provide advice on the restructuring of accounts and donation allocations for proper management control and streamlined reporting.
  • Interpret CRA rules and regulations for charitable giving.
  • Identify and resolve gift acceptance issues pursuant to CRA legislation, internal guidelines, and industry standards.
  • Identify potential Donor stewardship issues and opportunities.
  • Project donation revenues and prepare detailed trending analysis of donor intentions.
  • Make recommendations on the acceptance of gifts from external sources and the transfer of gifts to internal departments.
  • Search and download bank information regarding account activity.
  • Confirm the value of gifts of securities by liaising with the Staff Accountant and other external sources.
  • Prepare documentation packages for estate and gift of securities.
  • Remain current on regulations and securities and market trends.
  • Establish and maintain estate files and communicate with trustees, legal representatives and internal departments.
  • Investigate discrepancies and problems that occur when receiving securities from donors.
  • Work with the Associate Director in the development of annual plans for the unit.
  • Prepare, scrutinize, analyze, and reconcile detailed financial reports and records.
  • Assist with the compilation of statistics, and prepare and distribute status reports reflecting Institution data collection activity, and alert appropriate University staff regarding incorrect or missing data.
  • Research, enter, and maintain engagement and biographical information in the development information system by creating and maintaining entity records for donors, prospects, alumni, students, and organizations in alignment with data business rules.
  • Utilize mass-update mechanisms to update demographic information from external sources, and review electronic demographic data batches.
  • Utilize mass-update mechanisms to review electronic gift data batches, review and systematically ‘upload’ gift data batchesAccurately determine appropriate gift designation, category and account for correct gift/pledge reporting.
  • Write queries and macros using Excel, or other similar programs, to generate quality control checks.
  • Monitor and investigate error and exception reports.
  • Interpret and communicate applicable financial policies, procedures and guidelines to others.
  • Act as a resource to staff, departments, and external agencies, and respond to inquiries, questions and concerns pertaining to donation issues.
  • Look for creative ways to ensure accurate information on as many alumni and business records as possible.
  • Perform all aspects of the gift recording process by accurately entering gifts, pledges, and pledge payments of all tender and transaction types in the gift system with complete accuracy for the generation of accurate tax receipts in compliance with government requirements.
  • Review recorded gift and pledge batches for accuracy in gift allocation in alignment with donor instructions.
  • Coordinate the acquisition and integration of student activity data. Includes interfacing with various University offices to request information on a pre-determined schedule. Manage/coordinate data entry procedures for data obtained.
  • Developing data entry procedures and related projects.
  • Ensure data entry accuracy with respect to the set up of complex pledges and ensure that pledge payments are allocated to the appropriate open pledges.
  • Work with internal and external professionals to process complicated gifts and biographical updates.
  • Develop and deliver training and information sessions on relevant accounting procedures and the use of financial systems to members of the University and decentralized offices.
  • Exercise appropriate controls, monitor, and reconcile accounts.
  • Write a variety of documents and reports such as procedure manuals, fund allocation reports, and financial statements, generate account statements, and reconcile and review for accuracy.

Supervision:

  • Has ongoing responsibility for supervising 1-9 casual employees.

Qualifications:

  • Bachelor’s degree in Finance, Accounting, Economics, or relevant field of study. A McMaster University degree is an asset.
  • Designation is an asset (Accounting, MBA, etc.).
