Our client, a leading and globally recognized organization in the financial services and capital markets sector, is seeking a highly experienced and professional Executive Assistant, Legal to join their Toronto office and provide top-tier operational and administrative support to the Chief Legal Officer (CLO).
This role requires a seasoned legal or executive assistant with excellent judgment, strong communication skills, and a high degree of discretion. The successful candidate will support a senior legal executive in a fast-paced, complex, and dynamic environment, playing a key role in maintaining the executive's effectiveness and efficiency. This is a hybrid position.
Responsibilities
This role will include:
- Managing a dynamic and complex executive calendar, including meeting coordination, conflict resolution, prioritization, and travel arrangements across time zones
- Preparing high-quality correspondence, including emails, memos, presentations, and internal/external communications
- Screening and managing all incoming and outgoing communications, ensuring appropriate follow-up or delegation
- Organizing logistics for meetings, workshops, and special projects, including agendas, catering, venues, and technical setup
- Acting as a liaison between the CLO, internal teams, senior management, the Board of Directors, regulators, and other external stakeholders
- Providing support for virtual meetings across various platforms
- Managing contact lists, legal files, business expenses, and vendor invoices
- Maintaining confidentiality while handling sensitive communications and materials
- Anticipating the CLO's needs and proactively ensuring the executive is prepared for all meetings and engagements
- Coordinating and supporting various special assignments and ad hoc projects
Requirements
You are the ideal candidate if you have/are:
- At least 8 years of experience as a legal or executive assistant, with demonstrated support of senior legal leadership
- Proven ability to handle sensitive information with the utmost discretion and sound judgment
- Exceptional communication skills (verbal and written) with the ability to interface confidently with executives, Board members, regulators, and legal professionals
- Superior organizational, multitasking, and time-management skills
- Technologically adept with experience using the Microsoft Suite, Google Workspace, Adobe Suite, and collaboration tools such as Webex, Zoom, Microsoft Teams, and Google Meet
- Meticulous attention to detail and commitment to high-quality output
- Strong initiative, self-motivation, and the ability to thrive in high-pressure environments
