We are seeking a detail-oriented and collaborative Fleet Specification Writer I to support the planning, development, and delivery of fleet assets for Strathcona County. Reporting to the Fleet Specification Writer II, this role plays a key part in managing fleet replacements and growth within an annual capital budget of approximately $8 million.

As internal departments expand to meet increasing population and development demands, this position contributes to ensuring fleet assets are delivered on time, within budget, and in alignment with operational requirements. The Fleet Specification Writer I works closely with internal clients and vendors to develop accurate, compliant, and efficient specifications for fleet vehicles and equipment.

Key Responsibilities:

• Develop specifications for Strathcona County vehicles and equipment with moderate complexity
• Create detailed specifications for accessories and rig-up components
• Establish standard timelines for vehicle and equipment specifications
• Collaborate with internal user groups to ensure operational requirements are met
• Assist in scheduling and coordinating asset moves for rig-up activities
• Prepare and manage project plans for fleet build projects
• Participate in pre-construction and final inspection meetings with vendors
• Inspect delivered assets to ensure compliance with approved specifications
• Coordinate corrective actions with vendors when required
• Prepare detailed final inspection reports
• Work with Procurement Services to ensure adherence to purchasing processes
• Participate in RFQ evaluations with the Fleet Acquisitions team
• Create purchase requisitions and support procurement documentation
• Manage GPS installations, repairs, transfers, and removals
• Maintain accurate vehicle files in SharePoint
• Update fleet procurement tracking tools and documentation
• Research industry best practices and emerging technologies Provide recommendations to improve fleet efficiency and effectiveness and support continuous improvement initiatives

Qualifications and Skills:

• 5 years of related experience developing fleet specifications and/or working in fleet maintenance and repair
• Knowledge of fleet maintenance software, work order processing and Tangible Capital Assets
• Basic knowledge of Federal, Provincial and Municipal Purchasing policies
• Strong computer skills in Microsoft Office and document management systems
• Past municipal experience would be considered an asset
• Strong organizational and time management skills, with demonstrated flexibility and the ability to adapt to changing priorities and manage multiple tasks
• Ability to build strong relationships with internal and external client groups
• Able to work with minimal supervision, possess leadership abilities, and have strong attention to detail Ability to work in a fast-paced environment to support maintenance deadlines of Fleet Services

Conditions of Employment:

• Submission of a Satisfactory Criminal Record Check
• Valid Alberta Class 5 Driver’s licence and submission of a 5-year Driver’s Abstract with less than 7 demerits
• Ability to perform physical labour as part of the job duties and stand/walk for extended periods of time The position requires travel across North America approximately four times per year for preconstruction meetings lasting 3–5 days, occasionally including weekends
