About the role

This role will be hybrid for candidates located near our North York office and fully remote for those outside the region. This opportunity can be based anywhere in Canada. We are seeking a highly-skilled and motivated Financial Analyst to join our finance team and play a key role in driving accurate financial reporting and strategic financial planning.

We are seeking a detail-oriented Proposal Coordinator to support proposal development. The Proposal Coordinator will be responsible for coordinating and writing responses to Requests for Proposal ("RFPs"), Request for Qualifications ("RFQs"), Request for Information (“RFI”), Expression of Interests (EOIs) and other pre-qualification questionnaires for all Lifemark Health Group business units. The Proposal Coordinator will have strong technical writing skills and the ability to work in a deadline-driven environment, working closely with internal and external stakeholders to develop high-quality submissions to secure contracts. We are looking for someone that will be a key contributor to the growth and infrastructure of our business development initiatives.

In this role, you will:

  • Support the end-to-end RFP submission process including, proposal and presentation development and special client deliverables (pre-qualification, proposals, and short list presentations)

  • Support in creating and maintaining proposal content across multiple service lines, including boilerplate text, project profiles, resumes, appendices, and internal proposal databases, ensuring information is properly sourced and approved

  • Assist with the writing, formatting and proofing/editing of proposals based on input from multiple authors.

  • Coordinate kick-off meetings and post-bid debrief meetings and summarize results and feedback

  • Review and upkeep of RFP email inbox, procurement sites and company websites for opportunities related to Lifemark services and the healthcare industry, and manage subscriptions and registrations on multiple vendor portals and bid sites

  • Organize and schedule team meetings, deliverables checklist, prepare meeting agendas and take meeting minutes

  • Collaborate with business team leads to refine final proposal documents and ensure that all content is supplied by the team and compliant with the proposal requirements.

  • Final submission of the proposal – electronically or print, package and courier as required prior to deadline.

  • Assist with the creation of graphics and page layouts for proposals and presentations

  • Liaise with internal teams to maintain updated compliance documentation for RFP submissions, including insurance and corporate registration certificates and financial documents

  • Manage RFP data base, SharePoint and other document management systems (e.g. Sales CRM, RFP CMS, One Drive, etc.).

  • Assist with other business development and administrative projects and objectives as required

What we're looking for:

  • Degree or Diploma in Business, Marketing/Communications, Project Management or equivalent is an asset
  • 3-5 years’ experience coordinating and assisting with writing, proposal development/coordination – ideally for RFP-type response, technical, corporate communications and marketing materials
  • Intermediate to advanced proficiency in MS Office and other applications (SharePoint, Dynamics, Adobe, PowerPoint, Excel) and graphic development
  • Strong verbal and written communication skills
  • High-degree of organizational skills, multi-tasking and problem-solving skills
  • Exceptional attention to detail and accuracy, combined with the ability to manage multiple high priority tasks
  • Excellent time management skills with the ability to work under pressure and meet strict deadlines
  • Team player with excellent interpersonal skills who is flexible and has the ability to work in a rapidly changing work environment
  • Knowledge and experience using RFP content management systems an asset (Responsive AI, Loopio etc.)
  • Ability to take initiative and to demonstrate resourcefulness in work assignments
  • Bilingual in French and English an asset
