Job Summary Reporting to the Manager of Transportation Infrastructure Management in the Infrastructure Planning and Engineering Services Division, the Administrative Assistant will be a key part of our team as we deliver projects, programs and services to support the needs of residents, businesses and other communities in the City of Mississauga.

Duties and Responsibilities

  • Provide administrative and clerical support to the Transportation Infrastructure Management, Environmental Services, and Transportation Planning teams.
  • Prepare, organize and file correspondence, reports, mail, spreadsheets, files, standard operating procedures.
  • Assist with on-going improvement and maintenance of the team's Sharepoint sites and folders for projects, programs and general reference documents.
  • Track, input and prepare reports for time and labour reporting in SAP.
  • Prepare drawdowns for purchase orders in SAP.
  • Provide support to projects and program activities within the team, including scheduling of in-person and virtual meetings, booking venues for public meetings and team events, assisting with large printing orders and mail-outs, organization and tracking of in-coming correspondence, and related activities.
  • Respond to general inquiries and prepare, forward and track service requests from City Councillors and members of the public for response by appropriate staff.
  • Maintain inventory and place orders for office supplies and uniforms, personal safety wear for staff.
  • Assist managers/supervisors with user setups, access cards and general onboarding for new staff.
  • Provide backup administrative support to other sections in the division to cover vacations and other absences.
  • Perform other related duties as assigned.

Skills And Qualifications

  • Graduate from a recognized post-secondary program in office administration/business support, or a related discipline, with 1 to 3 years progressive experience in an administrative/business support role.
  • Demonstrated competencies in providing customer service, communicating effectively, advancing continuous improvement, working with diverse populations, and acting with integrity.
  • Demonstrated ability to prepare written correspondence, including letters, emails, memorandums, meeting agendas & minutes.
  • Solid typing/keyboarding and computer skills, including experience with Microsoft Office programs.
  • Experience with computer softare programs such as SAP, Sharepoint and Powerpoint considered an asset.
  • Ability to complete tasks and meet timelines with minimal day-to-day supervision.
  • May require some light lifting of office supplies/materials.
  • Primarily office environment with prolonged exposure to computer keyboards and screens.

Hourly Rate/Salary: $ 53,354.00 - $ 71,139.00

Hours of Work: 35

Work Location: Civic Centre - 300 City Centre Drive, Mississauga

Work Model: This role follows a hybrid work model, requiring employees to be onsite in the office 3 days per week and allowing remote work for the remaining days. Specific in-office days may be set by the team or department to support collaboration and business needs.
