About the role

Job Purpose:

The Home Health Service Coordinator is responsible for coordinating and managing the service technicians. They serve as a crucial liaison between clients, healthcare professionals, and vendors to ensure the timely provision of appropriate repairs and related services. In addition to the primary responsibilities related to client assessment, coordination, billing, and funding, the coordinator also plays a key role in managing and keeping track of inventory. They ensure an accurate inventory count, coordinate equipment allocation, monitor stock levels, and facilitate maintenance and repairs.

Principal Responsibilities:

  • Conduct initial assessments of clients’ repair needs

  • Identify and source parts and components from suppliers and vendors.

  • Negotiate pricing, terms, and contracts with suppliers to obtain competitive pricing and favorable terms.

  • Maintain accurate and up-to-date client records, including assessments, equipment specifications, delivery details, and service authorizations.

  • Ensure compliance with regulatory requirements and documentation standards.

  • Serve as the primary point of contact for clients, caregivers, and healthcare professionals regarding services.

  • Provide information, education, and support to clients and their families and address questions, concerns, and equipment-related issues.

  • Schedule all training for service technicians

  • Schedule all in service appointments for sales representatives and technicians

  • Collaborate with interdisciplinary teams, including therapists and rehabilitation specialists, to facilitate effective communication and coordination of care.

  • Coordinate routine maintenance and repairs for assistive devices, ensuring safe and optimal performance.

  • Schedule equipment inspections, adjustments, and repairs with vendors and technicians.

  • Assist clients in navigating warranty claims and obtaining loaner equipment when necessary.

  • Monitor and evaluate the quality and effectiveness of service, identifying areas for improvement.

  • Stay updated on industry trends, best practices, and regulatory changes related to service.

  • Verify clients' insurance coverage, including private insurance, government-funded programs (such as ODSP), and other funding sources.

  • Coordinate the billing process, ensuring accurate coding and submission of claims to insurance companies and funding sources.

  • Follow up on claim status, address any issues or denials, and advocate for clients when necessary.

  • Maintain accurate and up-to-date inventory records, including quantities, models, serial numbers, and equipment specifications.

  • Perform other duties as assigned to support Rexall Pharmacy Group Ltd.

Knowledge, skills and experience:

  • High School Diploma

  • Less than 1 year of experience

Context and Environment:

  • Regularly required to use a computer, operate a motor vehicle, use a handheld device, telephone, etc.
  • This position requires frequent variations of sitting, walking, standing, kneeling, reaching or stooping.

Internal Communications:

  • Ability to clearly communicate with Home Health Care Operations Manager and Home Health Care Warehouse Manager(s).

External Communications:

  • Ability to communicate effectively with patients and their families in stressful and emotional situations.

Additional Information:

  • Post secondary education in Business Administration an asset.
