Role Description: The Executive Assistant is a contract, on-site role based in British Columbia, Canada, providing high-level administrative support to senior leadership. Day-to-day responsibilities include managing calendars, scheduling meetings, organizing travel, and preparing expense reports. The role coordinates correspondence, drafts and edits documents, and maintains records and files to ensure efficient executive workflows. The Executive Assistant supports event-related logistics for initiatives such as podcasts, symposiums, and speaking engagements, and may liaise with partners, vendors, and stakeholders. This position requires strong organizational skills, attention to detail, and the ability to handle confidential information with discretion while working in a dynamic, mission-driven environment.
Qualifications Demonstrated Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and executive communications. Strong Administrative Assistance capabilities with experience managing office tasks, documentation, and organizational systems. Proficiency in preparing and tracking Expense Reports and handling basic financial or budget-related documentation. Excellent Communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders. Strong time management, prioritization, and organizational skills in a fast-paced environment. Comfort with productivity tools (e.g., word processing, spreadsheets, presentation software, shared calendars, and collaboration platforms). Ability to maintain confidentiality and exercise sound judgment in handling sensitive information. Experience supporting non-profit, advocacy, or community-focused organizations is an asset. Post-secondary education or equivalent experience in administration, business, communications, or a related field is preferred.
