SCOPE
Reporting to the Manager, Leasing & Service, the incumbent manages, markets and negotiates all new leases and lease renewals of commercial spaces where Concordia is landlord. They are also responsible for the management and negotiation of Concordia’s space needs as a tenant and of the onboarding of newly acquired buildings into our financial system. They manage the relationships with the tenants and lead day-to-day lease issues in accordance with University standards, policies and procedures.
PRIMARY RESPONSIBILITIES

Find tenants for vacant commercial and office rental spaces owned by Concordia University. Manage, negotiate, analyze and complete offers to lease, lease renewals, lease amendments and other lease documents.

Represent Concordia University in all relationships with tenants (when Concordia is the landlord) and with landlords (when Concordia is the tenant). Ensure productive relationships are maintained in accordance with the lease agreements. Address tenant issues to ensure compliance with the lease terms and negotiate equitable resolutions of disputes.

Manage new tenant fit up projects. Collaborate closely with stakeholders (both internal and external) to facilitate leasing arrangements, such as renovation plan approvals. Act as the project manager for the construction phase of the new tenant space. Liaise between tenant contractors and Property Management to plan interruptions related to the renovations.

Establish and review the budget (Concordia as a tenant or as a landlord) based on leases, operating costs and tenant requests in conjunction with Property Managers.

Ensure that the tenant portfolio mix and marketing plan meet existing and future University needs. Lead broker relationships and all real estate searches in new and existing markets to meet Concordia University real estate portfolio needs

Develop, implement and maintain policies related to leasing activities and procedures to improve efficiency and profitability. Document and revise step by step work procedures as required.

Conduct rental market evaluations to ensure that Concordia University stays competitive, albeit profitable, in the downtown rental market. Establish market data on rents, land prices and building costs. Manage a network of business partnerships and relationships with landlords, contractors and associations that can be leveraged for real estate deals, construction and renovation projects.

Meet with third party service providers to organize visits or work inside tenant spaces. Ensure that Property Management assists tenants with required maintenance activities within tenant spaces. Assist in planning interruptions including communicating details to affected individuals.

Provide functional supervision to the Coordinator, Lease and Rentals, assign work activities related to Concordia leases.

Oversee the onboarding of new building acquisitions and rental locations (when Concordia is a tenant) into our financial and CMMS systems.

Communicate new and existing lease information to pertinent stakeholders. Ensure proper transfer of lease information to Property Management and ensures integration of information in lease management system.

Undertake other tasks as requested by the Manager or Director.
QUALIFICATIONS
-
Bachelor’s degree in a field relevant to the primary responsibilities and four to seven years of experience in commercial leasing management, including client facing negotiation.

Ability to negotiate, analyze and complete commercial real estate lease agreements and other leasing documents.

Ability to work in a fast-paced environment, multitask, and prioritize with minimal supervision.
-
Strong problem solving and analytical skills (ability to recommend conclusions with applicable back up to support conclusion), including having a level of comfort in situations where some details are left undetermined, and solutions can be driven forward from those situations.

Strong desire to learn and collaborate.

Experience working in an integrated computerized environment

Good knowledge (Level 4) of spoken and written English in order to communicate with clients, write correspondence and reports, good knowledge (Level 4) of spoken French to communicate with tenants and basic knowledge (Level 3) of written French to write routine correspondence.

Basic knowledge of Excel and Word (Microsoft office suite).

Excellent negotiation skills and sound business judgement.

Excellent interpersonal skills; ability to work independently and in a team environment and to interact effectively with internal and external communities.

Outstanding organizational skills; ability to prioritize work and to perform well under pressure.

Must be able to visit existing leased premises, premises under construction and prospective locations.

Member of the Organisme d'autoréglementation du courtage immobilier du Québec (OACIQ) is an asset.
