  • Shift/Hours : 30h/week, Monday to Friday, Morning shift (could have to start at 6am)
  • Hourly Rate : $22/h

About This Opportunity

Reporting to the Manager, Finance, Building services, Credit and Collections, the Coordinator, Facilities is the linchpin of procurement and building operations, ensuring seamless internal processes and maintenance. Their responsibilities include creating purchase orders, managing software assignments, and serving as the primary contact for suppliers and clients, while also maintaining the building’s operating needs. In building operations, they coordinate maintenance, manage security access, and ensure compliance with health and safety standards. Additionally, they play a key role in event planning, coordinating with vendors, and providing support during team member absences, all to maintain an efficient and welcoming facility.

Responsibilities

Procurement

  • Create Purchase Orders for all Internal departments, building operations
  • Follow up on outstanding payments, outstanding orders
  • Order and assign Adobe software to users across Canada
  • Create GR (Gardaworld), code Non-invoices
  • Obtain and process contractor quotes and proposals
  • Serve as the point of contact for suppliers, sub-contractors, and clients for the coordination of services
  • Establish and maintain the operating budget for the Maintenance of the building

Building Operations

  • Schedule Maintenance and Repairs with First Gulf, POI Business Interiors, Meadowbrook. Torbram Plumber, SW Construction, Westbury, Service Master, and Engie
  • Create new and replaced badges for CCCBL (Coke Canada) and CCL (Coca-Cola Limited) contractors, create profile in C-Cure, activate and deactivate cards, purchase badge supplies from Color ID (blank cards, holders and pullies), request for repair from Identicard,
  • Post Current sign postings, DEI (Diversity, Equity & Inclusion), Health and Safety, Cyber, and special launches and holidays
  • Respond to immediate request regarding office workstations and office equipment and furniture from internal CCCBL
  • Train staff members on updated procedures and maintaining training manual and lead weekly operation meetings
  • Create weekly Access Building Reports for CCCBL HR and CCL
  • Ensure all projects comply with established legal regulations
  • Maintain accurate records and ensure total compliance with established health regulations and industry standards.
  • Participate in activities related to long term planning related to facility maintenance.
  • Conduct onsite tours for First Gulf's Management team, Contractors, and Inspectors

Event Planning

  • Book Atrium, Cafe, and Patio to internal and external clients
  • Coordination of outsourced vendors and caterers with set up, booking freight elevator and dock doors during business hours or off hours,
  • Coordinate Desk drops for CCL and CCCBL
  • Provide back pp while another team member on vacation or ill
  • Manage Office Services to assist internal and external clients
  • Make minor decisions for department issues during Manager absences

Qualifications

  • University or College diploma
  • 1+ years of experience in a similar role
  • Strong proficiency in office functions particularly in Excel and PowerPoint
  • Collaborative mindset with excellent communication skills
  • Exceptional attention to detail and analytical thinking
  • Project management and/or routine management experience
  • Performance driven with ability to meet deadlines in a fast-paced environment
  • Willingness to learn with a team-oriented attitude
