About the role

Nature of the Work & Responsibilities

NATURE OF THE WORK:

The principal and customary work of the employee in this employment class consists of performing various technical tasks of an administrative nature in areas related to, among others, the management of financial and material resources and of various academic files. The administration technician may also assist support personnel as well as users of the department concerned.

RESPONSIBILITIES:

  • Weekly reviews of all payment instruments as to accuracy, authorization, compliance, and adequacy of supporting documentation, for projects and information technology related expenditures;

  • Monitors cash outflow related to capital project expenditures and prepares the request for borrowing from the Fonds de financement;

  • Monitors cash outflow related to information technology expenditures and prepares the request for borrowing from the Fonds de financement;

  • Prepares journal entries related to the weekly short-term borrowing, including the recording of the revenues;

  • Works closely with the banking team for the transfer of funds between Operating and Capital accounts, when required;

  • Downloads and verifies statements from the “Extranet financement regroupé” platform;

  • Reconciles General Ledgers’ codification to the fixed asset register, ensuring capital assets costs are properly captured and accounted for;

  • Collaborates with the Analyst, Facilities Management, and the Associate-Director of Financial services to make sure that the renovation invoices are processed in a timely fashion;

  • Analyzes the financial information and supports the Analyst in the preparation of the quarterly and annual reports;

  • Records adjusting entries for quarterly and year-end financial reporting purposes;

  • Supports the Analyst in the preparation of documentation for the financial year-end audit;

  • Supports the Analyst in the preparation of random reports and requests from the ministerial bodies and external partners;

  • Supports the Analyst in the preparation of various financial analysis;

  • Collaborates with the information technology department to apply, on a timely basis, the inventory location changes in the asset module;

  • Provides support to Financial Services in tasks such as, but not limited to, completing GST/QST quarterly reports, variances identification, and preparation of ad hoc reports and documentation;

  • Provides support to the Associate-Director, Financial Reporting, as required;

  • Performs any other related tasks.

Qualifications & Conditions

QUALIFICATIONS:

In the administration field, have a diploma of college studies (DEC) in administration with an appropriate specialty or, in the office automation field, a diploma of college studies (DEC) in office automation with an appropriate specialty or, a diploma or an attestation of studies which is recognized as equivalent by the competent authority.

CONDITIONS:

  • Advanced accounting skills (testing may be required);

  • Demonstrable understanding of operations and financial processes in a college environment

  • Detail-oriented with a focus on accuracy;

  • Advanced knowledge of Microsoft Excel and intermediate knowledge of Word (testing may be required);

  • Advanced communication skills in English, oral and written (testing may be required);

  • Intermediate French, oral and written (testing may be required);

  • Excellent interpersonal skills with the ability to work both autonomously and cooperatively;

  • Ability to establish priorities and ensure deadlines are respected;

  • Ability to quickly adapt to changing priorities;

  • Ability to make judgement calls in “grey zone” areas.
