About the Roles

We are currently seeking two HR Coordinators for our team:

Coordinator, HR Shared Services

Reporting to the Manager, HR Systems, the Coordinator, HR Shared Services is responsible for delivering timely, accurate, and customer-focused HR support by reviewing, responding to, and triaging employee inquiries, ensuring consistent application of HR processes, and maintaining data integrity. As a key member of the HR team, the role provides frontline guidance and support on HR transactions, supports system workflows, and offers hands-on training to managers and employees. In addition to processing support, the Coordinator, HR Shared Services contributes to continuous improvement initiatives, assists with workforce transitions, and provides cross-functional coordination for projects, reporting, and other administrative and process-driven tasks as required. This role also supports the development and implementation of HR processes and systems, ensuring compliance and efficient service delivery across the university.

Coordinator, Talent Management and Total Rewards

Reporting to the Director, Talent Management and Total Rewards, the Coordinator, Talent Management and Total Rewards provides timely, accurate, and customer-focused HR support across key areas including onboarding, recruitment, learning and development, and compensation. This role supports the hiring process by administering applicant tracking system tasks, including posting jobs and creating offer letters, responding to recruitment-related inquiries, and processing and verifying recruitment documentation. The Coordinator also administers relocation and professional development expense payments in accordance with university policies. As part of the Talent Management and Total Rewards team, the role ensures consistent application of HR processes, maintains data integrity, and supports system workflows. Additionally, the Coordinator contributes to process improvements, reporting, cross-functional projects, and provides backup support to the Coordinator, HR Shared Services to ensure seamless service delivery across the university.

Responsibilities

  • Serve as a primary contact for HR-related general queries, delivering excellent customer service through multiple channels (email, phone, etc.).

  • Accurately assist with processing a wide range of HR transactions within defined service level agreements.

  • Triage and escalate more complex or sensitive inquiries to appropriate HR subject matter experts or business partners.

  • Create and maintain reference documents including guides and procedures.

  • Manage privacy compliance checks to ensure any data being sent from HR is appropriate and in-line with privacy legislation and best practices for recipients.

  • Coordinate and monitor workflows across HR functions to ensure consistent and efficient handling of requests.

  • With support from HR subject matter experts, develop, document, and maintain standard operating procedures (SOPs) for core HR service processes. Collaborate with HR subject matter experts to identify and resolve workflow bottlenecks or gaps in service delivery, identifying opportunities to streamline HR processes and enhance the efficiency and quality of services.

  • Ensure filing systems are maintained in an accurate, organized, and efficient manner.

  • Participate in HR system testing, upgrades, and implementation projects, offering user perspective and feedback to optimize functionality.

  • Maintain an understanding of collective agreements, HR policies and programs to inform responses to basic queries received via the shared HR inboxes and as requested by others on the HR team.

  • Other duties as assigned.

Qualifications

  • Diploma in Human Resources, Business Administration, or a related field (a combination of previous education and experience may also be considered)
  • 2+ years’ experience in a Human Resources, Payroll or similarly confidential and sensitive environment is an asset
  • Experience in a unionized environment is an asset
  • Strong customer service skills with the ability to handle sensitive situations, manage conflict, and maintain professionalism.
  • Excellent written and verbal communication skills, with sound judgment in prioritizing and escalating issues as needed.
  • Proven ability to work independently, manage multiple priorities, and problem-solve effectively in a busy environment.
  • High attention to detail, accuracy, and confidentiality, with a solid understanding of privacy legislation.
  • Proficiency in Microsoft Office, Google Workspace, HRIS, and databases; experience with Visio, Canva, or website maintenance is an asset.

Salary: $56,747.00 - $64,258.00
