Salary: $130,000 CAD per year About the Role We are seeking an exceptional Chief of Staff & Operations Manager to work directly with two entrepreneurs managing multiple businesses and real estate development projects in Florida. This is a highly trusted position supporting both executives across business operations, real estate development, investments, and strategic initiatives. You will act as the central point of coordination, ensuring projects move forward efficiently and nothing falls through the cracks. The ideal candidate is highly organized, proactive, resourceful, and capable of independently managing complex projects while communicating with professionals across North America.
ResponsibilitiesExecutive Support
Manage calendars, travel, meetings, and priorities for both executives Coordinate day-to-day business activities Prepare presentations, reports, correspondence, and contracts Manage confidential information with discretion Real Estate & Development Coordinate engineers, architects, contractors, consultants, municipalities, and legal professionals Track permitting, development approvals, construction timelines, and project milestones Obtain and compare vendor quotes Organize due diligence, contracts, and project documentation Assist with acquisitions and development projects from planning through completion Business Operations Manage special projects across multiple companies Create and improve business systems and workflows Track budgets, invoices, and expenses Coordinate with accountants, attorneys, bankers, and advisors Conduct market research and prepare business analyses Project Management Maintain detailed project schedules Ensure deadlines are met Follow up with vendors and stakeholders until projects are completed Identify issues early and recommend practical solutions Keep leadership informed with regular progress updates Qualifications 5+ years of experience in executive support, operations, project management, consulting, or business management Outstanding organizational skills Excellent written and verbal communication Strong problem-solving ability Ability to manage multiple priorities simultaneously Advanced proficiency with Microsoft Office and Google Workspace Experience in real estate development, construction, finance, or healthcare is considered an asset What We're Looking For The successful candidate is: Exceptionally organized Self-motivated Detail-oriented Professional and discreet Comfortable making decisions independently An excellent communicator Able to thrive in a fast-paced entrepreneurial environment Compensation $130,000 CAD annual salary Performance-based bonus opportunities Fully remote position based in Nova Scotia Opportunity to work directly with two executives while helping build and grow multiple businesses and real estate ventures.
