Drawing on previous experience in financial services, a law firm, or a similar executive assistant role, the successful candidate will be a strong team player with meticulous attention to detail, a positive attitude, and exceptional interpersonal skills. They must also be responsible, confident, and self-motivated. What is the position responsible for? Administering the client onboarding process, including gathering information and processing documentation. Managing and maintaining client information and communicating with clients to update records as necessary. Preparing professional correspondence, reports, documents, and files. Responding to requests for information in a timely manner. Supporting clients with general day-to-day service requests. Communicating internally with various operational and administrative departments. Maintaining the Customer Relationship Management (CRM) system. Managing our WOW client service program. Managing calendars and scheduling activities. Email triage and prioritization. Meeting preparation and coordination. Following up with clients and wholesalers. Tracking and monitoring paperwork. Performing CRM quality control. Assisting with staff coordination. What can you expect from us? Our most important investment is in people. What do we expect from you? Meticulous attention to detail. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook) and other business-related software. Strong organizational and problem-solving skills. The ability to learn independently. A proactive self-starter with a "can-do" attitude and a desire to take ownership of their role. The ability to prioritize and manage multiple deadlines and tasks. The ability to work effectively in a team environment while maintaining a professional and friendly manner. The ability to perform well under pressure and adapt to changing priorities.
Education and Experience
Minimum of 1 year of administrative experience. Post-secondary education.
Licenses and Certifications
CIRO license, or the ability to become licensed within 6-12 months of hire.
