We currently have an opening for an Administrative Assistant in our Charlottetown office.
SUMMARY OF RESPONSIBILITIES
- Prepares, reviews and edits a wide range of legal documents and correspondence of a confidential nature, transcribing dictation as needed;
- Creates and maintains a filing system; opens and closes files in a timely fashion. Performs conflict searches, external searches, and processes client intake forms;
- Manages incoming and outgoing mail, e-mail, faxes and phone calls in a confidential, organized and efficient manner;
- Establishes and maintains a current calendar of events and a deadline reminder system for assigned lawyer(s) – arranges meetings and schedules appointments;
- Prepares statements of account (pre-bills), receipts incoming cheques and requests outgoing cheques, prepares lawyer expense claims and closes transactions;
- Acts as a liaison between assigned lawyer(s) and clients, as well as internal departments and external affiliates including financial institutions, municipal and government departments as requested;
- Where applicable, reviews court lists, posts/tracks time, and prepares and maintains clients’ records (e.g. minute books);
- Other related and administrative duties as assigned.
SKILLS & QUALIFICATIONS
- Degree or diploma in business, office administration or an acceptable combination of education and experience
- Two to three years of experience working in an office administration position;
- Above average proficiency in Microsoft applications including Word and Outlook; proficient in Microsoft PowerPoint and Excel;
- Excellent written and verbal communication skills;
- Organized approach to multitasking in a high activity environment;
- Ability to work independently as well as in a team environment;
- Ability to handle highly sensitive situations in a professional, confidential, and courteous manner.
Cox & Palmer, PEI provides a competitive compensation and benefits package including:
- Wage range – $22-$24 an hour, which is determined by experience;
- Firm paid Health, Dental, and Life insurance plans;
- Group Pension Plan with employer matching contributions;

- An annual Fitness Allowance.
