We’re seeking a Production Administrator to be the backbone of our Production department, keeping operations running smoothly from behind the scenes. In this role, you’ll coordinate everything from shipping and payroll to rental orders and department communications, ensuring our productions stay on track and on schedule. The Royal Winnipeg Ballet enriches the human experience by teaching, creating, and performing outstanding dance. Located in the heart of downtown Winnipeg, the RWB plays an integral role in the city’s vibrant arts community. Founded in 1939, the RWB holds the double distinction of being Canada’s premiere ballet company and the longest continuously operating ballet company in North America. In 1953, the Company received its royal title, the first granted under the reign of Queen Elizabeth II.

ABOUT THE ROLE

As the Production Administrator, you provide administrative support for the Production department, ensuring the smooth operation of day-to-day activities. In this role, you are responsible for managing communications, assisting with season preparation and tour advancement, coordinating shipping and international brokerage, supporting payroll submissions, maintaining files and records, and providing general project support.

WHAT YOU’LL DO

  • Coordinate and track rental and purchase orders for the Warehouse, Wardrobe, and productions.
  • Submit purchase orders, monitor vendor and designer payments, and track related expenses.
  • Reconcile receipts, invoices, and monthly credit card statements.
  • Work with the Production Manager to create and maintain detailed shipping manifests.
  • Draft and distribute communications including notices, information updates, calendars, and schedules.
  • Manage the Production calendar, file organization, cleanup, and preparation of Production records..
  • Assist with developing and maintaining an inventory of department assets, including valuation records.
  • Assist with timecard and payroll submissions.
  • Collaborate with stakeholders to create event timelines and work back schedules and monitor adherence.
  • Provide support at the warehouse as needed, including managing contractor access cards.
  • Maintain organizational files in hard copy and digital formats; ensure compliance with privacy policies and legislation.
  • Manage rental inquiries for productions, studios, and wardrobe; negotiate timelines, draft contracts, file related paperwork, and serve as the primary liaison with rental partners.
  • Draft season itineraries, schedule meetings and prepare meeting minutes as needed.

WORK SETTING

In this role, you work in an office and warehouse environment with extend periods of computer use. This role requires frequent communication with internal and external stakeholders with shifting priorities. Work outside of regular office hours may be required during evenings and weekends.

WHAT YOU BRING

  • Post-secondary education in Arts Administration, Business Administration, or equivalent experience in a production department or non-profit environment.
  • Strong understanding of organizational operations and processes.
  • Experience with contracts, agreements, and memorandums of understanding.
  • Highly organized with effective multitasking abilities.
  • Strong attention to detail with solid time management, and decision-making skills.
  • Effective communicator with strong interpersonal and collaboration skills.
  • Familiarity with Canadian immigration and taxation processes an asset.
  • Experience with Saga APA/Beanworks or similar invoice and PO systems an asset.
