We are currently seeking a Receptionist in our Calgary office. Please review the following and if this sets out that perfect opportunity for you, we look forward to hearing from you.
Key Responsibilities:
- Directs phone calls to appropriate lawyers/staff
- Greet clients and visitors to the office
- Maintains excellent public relations with clients; observes confidentiality of the lawyer-client relationship
- Maintains the neatness of the lobby and reception desk and area
- Manages the boardroom booking system
- Prepares boardrooms for meetings, including Zoom and Teams set up
- Organizes catering with vendors, including set up and clean up
- Assists with client and staff events
- Kitchen duties, including ordering of supplies
- Incoming and outgoing mail management, including couriers
- Assists the Marketing department with inventory management
- Assists in office supply ordering
- Assists in electronic filing, scanning and copying
- Maintains directories and office map
- Orientation for new firm members, including emergency procedures
- General administrative duties, including opening and closing files, matter updates and quarterly reports
- Files updates of library materials
- Other duties as required
Key Competencies:
- Professional demeanor with a client-focused attitude
- Excellent interpersonal skills with the ability to work effectively with other staff, lawyers, and clients
- Strong technology skills, including proficiency with Microsoft Office Suite, document management system, Zoom and Teams meetings
- Strong attention to detail, excellent oral and written communication skills
- Exceptional organizational, prioritization and problem solving skills
- Ability to multitask, work under pressure and meet deadlines
- Strong teamwork skills
Education/Experience Required:
- Prior experience in a legal/professional services firm is an asset.
