In working to achieve this vision, the Office of the Registrar and Enrolment Management (OREM) places students at the centre of operations and supports students to achieve their academic and life goals. Individual connections with OREM team members and services, as well as interactions with on-line services, contribute to students’ growth in knowledge, independence and confidence. Registrarial services strive to directly support students’ success in their university studies, campus life and subsequent life pursuits. The range of services provided by the units within the OREM appear at every point in the student life cycle, beginning with recruitment and admissions, all the way through to convocation. Members of the OREM team strive to be consistent in their interpretation, communication and application of regulations, policies and procedures while being both professional and respectful of the diversity and complexity of needs across the university campus. The OREM interacts with staff, students, faculty, university and external community members in order to assist in the delivery of core services that cross operational and departmental boundaries (e.g., registration, class and exam scheduling). It is important that students and our university colleagues are well-informed and well-supported by the OREM and the services offered.

The salary range for this position is:

  • Recruitment range: $75,755 - $83,525 starting salary determined by the PEA Collective Agreement.
  • Performance range: $98,528 salary range ceiling is available through annual performance increases.

Job Summary

Mandate:
Reporting to the Associate Registrar, the Manager, Undergraduate Records and Graduation Services provides strategic and operational leadership for the development, delivery, and integrity of Undergraduate Records and Graduation Services. This position ensures the consistent application of university policies and academic regulations, promotes data accuracy and compliance, and supports the student experience.

The Manager plays a key role in advancing institutional goals related to enrolment management, student success, and service excellence through the stewardship of academic records and graduation processes. Working collaboratively with other units within OREM, Student Affairs, and academic departments, the Manager ensures that the systems, policies, and procedures that underpin Undergraduate Records and Graduation Services.

Objectives:

  • Ensure the integrity, accuracy, and consistency of undergraduate academic records and graduation outcomes in alignment with university policies and Senate regulations.
  • Advance institutional priorities in enrolment management, student success, and service excellence through effective stewardship of academic records and graduation processes.
  • Strengthen operational efficiency and service quality by modernizing systems, streamlining procedures, and applying best practices in data governance and records management.
  • Foster a collaborative, inclusive, and high-performing team environment that supports staff development, equity, and continuous improvement.
  • Contribute to cross-campus collaboration and strategic planning within the Office of the Registrar and Enrolment Management to enhance the overall student experience.

Job Requirements

The successful candidate requires a bachelor’s degree and four years of related post-secondary experience in a supervisory/leadership capacity, preferably in a Registrar’s Office. An equivalent combination of education, training and experience may be considered.

Knowledge/Skills/Abilities:

  • Commitment to valuing the principles of truth, reconciliation and respect, equity diversity and inclusion, and contributing to an inclusive and respectful working and learning environment.
  • A high level of understanding regarding the work of a Registrar’s Office, records management and data management
  • Knowledge of higher education trends and regulations.
  • Knowledge and understanding of domestic and international education systems and trends within the higher education enrolment industry more broadly.
  • Excellent leadership, communication, and interpersonal skills.
  • Excellent organizational and problem-solving skills.
  • Ability to manage and administer records for 20,000 undergraduate students to support student enrolment.
  • Ability to multitask, make decisions, and meet deadlines while maintaining high service levels.
  • Ability to collaborate effectively with students and university staff in individual and group settings.
  • Demonstrated ability to exercise transparent and equitable judgment and discretion in resolving complex HR matters in a unionized environment.
  • Demonstrated ability to manage, coordinate projects and budget development.

Assets or Preferences:

  • Experience in undergraduate records and/or graduation services, preferably in a leadership role.
  • Experience leading, supervising, and developing staff.
  • Experience building working relationships with a dedication to student support, engagement, satisfaction and service excellence.
