**Location -**This role is in-person. Work primarily takes place at North Campus, Edmonton.

-Welcomeclients at the reception desk as the first point of contact and answer inquiries or direct visitors to the appropriate staff and resources. -Monitorthe departmental email account and respond to all inquiries promptly and professionally. -Coordinatedepartmental and research events, including booking venues, ordering catering, managing invitations, and processing associated invoices. -Managephysical and digital access controls by maintaining the lab key inventory, collecting deposits, and assigning proximity card access across multiple databases. -Processfinancial transactions and reconciliations for both operating and trust accounts, including Corporate Purchase Card (PCard) reporting and low-value purchases. -Arrangetravel logistics for staff, researchers, and guests, including booking flights and hotels and preparing subsequent expense reimbursement claims. -Generatemonthly financial reports from eTRAC and maintain various departmental records, such as faculty and staff contact lists. -Facilitatehuman resources and payroll tasks by submitting requests for students and staff and assisting with immigration or visa documents for foreign hires. -Communicatedepartmental information by updating social media platforms, maintaining the website, and posting physical notices on bulletin boards. -Performother related tasks to support the department and colleagues, including providing coverage and assisting with general administrative duties, including events, as required.
-Post-secondary educationrequired, such as a Business Administration Diploma; equivalent combinations of education and experience may be considered. -18 monthsof related administrative and front-line office experience, ideally in a post-secondary or client-service environment. -Strong client service, relationship management, communication, and interpersonal skills. -Demonstrated experiencecoordinating events or programs involving multiple stakeholders, such as department parties, conferences, and lecture series. -Excellent organizational, time management, and problem-solving skills, with the ability to manage competing priorities and resolve billing or scheduling issues. -Ability to workboth independently and collaboratively in a fast-paced environment to ensure efficient day-to-day office operations. -Experience with budgeting, reporting, and administrative processes, including PCard reconciliation and monthly financial reports. -Familiarity with Google Workspace(Google Suite Applications) and standard office software. -Demonstrated experiencewith technology related to hybrid meetings and conference room setups, including the proficiency to troubleshoot and set up equipment for meetings. .
