“The Executive Assistant will be responsible for providing high-level administrative and strategic support to the Chief Executive Officer and President of The Bridg Group of Companies. This individual will play a critical role in managing day-to-day priorities, and communication, scheduling, and project coordination on behalf of the President/CEO. The successful candidate will be proactive, highly organized, and capable of managing competing priorities with discretion, tact, and efficiency.

Position: Executive Assistant

Salary: $70,000 to $80,000 + Performance Based Bonus

Expected Start Date: As soon as possible

Major Responsibilities

Managing executive schedules and travel: Responsible for organizing the CEO and President’s calendar, travel, and appointments to ensure smooth daily operations.

  • Coordinate meetings, including virtual, internal and external appointments, and executive events.
  • Book travel arrangements and create detailed itineraries for business trips.
  • Monitor scheduling changes and adjust the calendar to reflect shifting priorities.

Handling communication and correspondence: Responsible for managing inbound and outbound communications for the CEO and President.

  • Screen and prioritize calls and messages.
  • Draft and proofread written correspondence, memos, and reports.
  • Maintain confidentiality when handling sensitive executive-level communications.

Meeting preparation and follow-up: Ensure all meetings involving the CEO and President are properly planned and followed up.

  • Prepare agendas, briefing notes, presentations and meeting materials.
  • Take meeting minutes and track follow-up actions.
  • Coordinate with departments to gather relevant documents or data.

Supporting executive operations: Provide administrative assistance and ensure smooth daily functioning for the CEO and President.

  • Manage digital and paper-based filing systems for executive documents.
  • Process expense reports, receipts, and manage confidential paperwork.
  • Maintain contact lists, key files, and organizational tools.
  • Manage CEO’s and President’s personal errands including food pick-up, vehicle maintenance, fueling, washing, and other local tasks as required.

Coordinating special projects and initiative: Assist the CEO and President in tracking and following up on strategic projects and tasks.

  • Track key deadlines, action items, and department submissions.
  • Follow up with internal teams to ensure project completion.
  • Compile and create data reports, summaries and updates for review by the President.

Serving as internal liaison and engagement support: Facilitate communication between the CEO/President and staff.

  • Distribute internal communications and coordinate leadership meetings.
  • Assist with planning internal and external company events.
  • Serve as a liaison between departments and executive leadership.

Qualifications and Requirements:

  • Bachelor’s degree in business administration, communications, or related field.
  • 15+ years of experience as an Executive Assistant, supporting senior management.
  • Proficient in Microsoft Office Suite; advanced Excel skills (XLOOKUP, PivotTables, etc.) are required.
  • Must have experience in booking business trips including air, hotel and car rental.
  • Must have strong negotiation skills with billing disputes, price rates and other compliance issues.
  • Must have experience in detailed research, analysis, and presentation of data.
  • Strong organizational and time-management abilities with acute attention to detail.
  • Excellent communication, problem solving and employee engagement skills.
  • Proven ability to multitask and prioritize under pressure.
  • High level of integrity, professionalism, and confidentiality and communication with high level executives and affluent clients.
  • Maintain a high degree of confidentiality and mange sensitive information with discretion and integrity.
  • Must be able to type 50+ WPM.
  • Must own a vehicle and have access at all times.

Assets:

  • Experience in the financial services or real estate industry is considered an asset.
  • Understanding of corporate governance and organizational structure.
  • Proficiency with tools such as Asana, Notion, or Trello for project tracking.
  • Formal training or certification in executive support, or administrative management is an asset.

Work Schedule and Conditions:

  • Work Schedule Monday to Friday 9:00am to 6:00pm with flexibility to work additional hours to meet required deadlines.
  • May involve after-hours communications or travel coordination during evenings and weekends.
  • Daily pressure associated with tight deadlines, high-level decision-making, and handling confidential matters.
  • Regular meetings with the CEO/President and Senior Leadership to discuss upcoming priorities and strategic alignment.
  • Must be able to meet deadlines and achieve quotas as set by management.
