Responsibilities

PRIMARY PURPOSE

The Project Coordinator is primarily responsible for coordinating and facilitating Business Technology Services project activities.

Performs specific duties emphasizing the following areas: Project Planning and Communications; Project Coordination; Contract Administration; Document and Correspondence Preparation; Information Tracking and Reporting; and Technology Administration/Leadership. Work mainly involves planning, problem solving and making recommendations and alternative solutions for consideration. Works with users to define the scope of work, understand needs and requirements, and implements same. Participates in the development of the project budget(s), schedule, monitors expenditures, and recommends modifications to the project scope, schedule, or budget to achieve successful project delivery.

Provides updates to Project Managers and Managers as needed on the status of the various projects.

The incumbent may supervise subordinate staff.

KEY ACCOUNTABILITIES

Plans and develops projects; assists in defining and determining goals, objectives, work packages, schedules, and risks related to the proposed project; identifies technical resources and seeks assistance or information and input as needed; assists in determining the need for external resources; assists in developing, planning, and monitoring budgets; coordinates administrative activities to facilitate project funding; coordinates project evaluations; assists in identifying success measurement standards for each project and/or phase.

Plans, coordinates, and attends project-related meetings, taking notes and preparing minutes as requested; recommends courses of action to assist projects to adhere to goals, objectives, and deadlines; develops and prepares procurement specifications; organizes and tracks product delivery, warranty, and installation in accordance with project milestones; assists to resolve project issues and recommends solutions to address budget, scheduling, technology, methodology, and other issues based on Project Management Body of Knowledge (PMBOK) processes and/or similar; develops status reports; provides input for changes in departmental procedures, processes, and policies.

Coordinates information sharing between stakeholders and serves as a liaison for both internal and external communications to keep the parties updated during the scope of the project; ; monitors and maintains project plans, tracking lists, and other project related documents and data; participates in the development, monitoring, and administration of project schedule and budgets, approves invoices for payment within defined authority levels, and reviews and reconciles monthly variance reports; prepares internal and external correspondence; drafts, edits, and proofreads various documents; prepares special reports, analyses, and recommendations pertaining to assigned projects; prepares special forms, tools, and written procedures; researches information and summarizes statistical and other findings obtained from special surveys and studies.

Participates in the evaluation and selection of project consultants; coordinates contract evaluation and selection processes; coordinates activities between the project team and outside consultants/vendors; monitors and tracks contractor/vendor activities for timeliness and contract compliance; monitors the quality of vendor services and identifies issues to more senior levels.

Provides information regarding areas of expertise; provides training to other staff regarding project management techniques, software utilization, or other areas as assigned; plans, assigns, prioritizes, and reviews the work of assigned subordinate staff; assists with department technical activities.

Qualifications

EDUCATION AND EXPERIENCE

The requirements of this job are acquired through a Diploma/Certificate in Computer Science or Business Management. Or comparable mix of education and experience. Some Project Management courses are mandatory. Plus three (3) years of related experience.

OTHER REQUIREMENTS

Prior experience in project management with demonstrated strong analytical skills when developing and recommending business improvements and change initiatives.

Excellent demonstrated organizational and time management skills.

Excellent communication skills with the ability to persuade others.

Computer skills - Standard Office tools including word processing and spreadsheet software, common project management software, common database applications and basic network, software, and other systems technologies.

Other Information

  • Experience in financial reporting and contract management support for multiple projects is an asset

  • Strong Excel skills, including tools such as Pivot Tables and Power Queries, are desired

  • CAPM or PMP certification is an asset

  • This position is to join the BTS project management office

  • This means that this role will need to support multiple concurrent projects

Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

Work Schedule

37.5 hours per week.

This is a full-time temporary position for 17 months.

Work Designation

Hybrid

This position offers the flexibility of working both on-site and remotely within B.C.

Rate of Pay

The salary for this position ranges from $75,600 - $113,400 per annum . Actual salary offered will be based on education, experience, skills, and qualifications as they relate to the role.
