About the role
BCIT’s Agile and Work Integrated Learning is seeking a regular, full-time (1.0 FTE**) Agile and Work Integrated Learning Systems Administrator**. This position provides administration, technical support, and continuous improvement of systems and processes related to Flexible Learning (FL) and Work Integrated Learning (WIL) programs. This role ensures the integrity and efficiency of FL operations through system administration, data maintenance, community engagement, cross-functional initiatives and project participation. Acts as the point of contact for FL systems modifications and improvement initiatives in communication, training, reporting, and event coordination and serves as a key liaison between academic departments, administrative units, and external partners in support of institutional Flex Learning and Work Integrated Learning goals.
Duties & Responsibilities
DUTIESANDRESPONSIBILITIES**:**

Evaluates and authorizes FL Banner user class access requests for security roles and systems access. Creates and authorizes FL Banner Workflow user class access requests and develops new automated processes.

Administers and maintains data integrity for FL forms and processes in FL-related systems, including Banner, Cognos, badging portals, and automated workflows.

Provides end user technical support for FL processes and system functionality. Troubleshoots FL-related system issues, escalates to ITS when necessary, actions requests from ITS that are FL-related systems and user issues, and ensures timely resolution and updates communicated with related partners to support smooth FL operations.

Collaborates with developers and analysts to design and implement new system functionalities. Plans and executes testing process for system upgrades and modifications through creating data model, documenting expectations and testing results, performing functionality testing, and authorizing implementation of Flex module modifications.

Creates and publishes Cognos and Impromptu reports for new or modified FL systems; monitors system activities, conducts regular audits and data quality checks on FL courses, contract, and grades to ensure accuracy and integrity; identifies trends and anomalies to support business intelligence, process improvement, decision-making, and institutional reporting and compliance requirements.

Conducts or participates in enterprise level or FL systems level projects or initiatives to enhance FL systems and workflows as needed, contributes to continuous improvement and cross-functional collaboration efforts.

Operates Banner Workflow processes for FL course cancellations and faculty contracts, including the setup and maintenance of workflow accounts and access credentials. Supports faculty contract approval processes through troubleshooting and queue management, and coordinates with program areas and payroll to ensure contract accuracy and compliance.

Administers the badging portal for course badges and Microcredential programs. Evaluates transcripts, audits data in the badging portal and Banner, and identifies inconsistencies ensuring alignment with the compliance. Creates, uploads and awards digital badges based on successful completion of program requirements. Liaises with academic and administrative partners to ensure accurate data flow between systems. Coordinates and provides support to the Agile Quality Committee (or equivalent) to create templates, minutes, resources, processes, approves and posts on SharePoint for BCIT Microcredentials.

Acts as an Institute liaison for FL, initiates and publishes annual planning FL key dates, coordinates and disseminates time-sensitive, targeted communications regarding changes to workflows, systems, and procedures to the Flex Learning community. Provides information on administrative processes and procedures as requested.

Identifies the triggers required to create and maintain automated messages produced by Banner for both students and instructors. Determines appropriateness and final approval of mass communication requests involving FL faculty and community.

Supports Learning and Teaching Centre (LTC) to promote development opportunities for FL faculty and coordinate onboarding activities. Collects participant feedback and collaborates with LTC to improve future planning of development opportunities.

Creates and maintains system documentation, user guides, technical specifications, and training materials; provides trainings and supports related to Flex Learning program as required.

Reviews policies, procedures, and business processes relating to FL systems. Makes recommendations to improve integration and alignment with full-time studies where appropriate.

Maintains and updates the FL Instructor Resource Digital Handbook (or equivalent), FL Directory, FL knowledge bases, and contents on internal/external communications platforms.

Organizes and facilitates Agile Department and FL events such as networking and information sessions. Coordinates event logistics, scheduling, catering, facilitators, A/V, and promotional materials.

Provides backfill coverage for other Agile Operations team roles as needed.

Participates in, or delegates Records Custodian training and remains current with record keeping practices, policies, and procedures (both BCIT and FOIPOP).

Undertakes other related duties as assigned, consistent with the job grade of this position.
Qualifications
QUALIFICATIONS**:**

The qualifications represent the minimum qualifications required in the future (i.e. to be reflected in job postings) and do not reflect the incumbent’s existing qualifications.
Education:
- Requires the equivalent of completion of specialized training programs of up to two years’ duration. For example, a Diploma of Technology, Business Systems, Communications, or a related field, or completion of a two-year full-time program from a community college.
Experience:
- Two years of general experience, plus up to four years of experience working in systems administration, communications, or business process support in a complex organization, preferably in a post-secondary environment.
Software/Computer Application(s) and Expertise:
- Advanced knowledge of Banner, Cognos, Impromptu, Canvas Badges, BCIT Badging Portal and enterprise workflow systems.
- Experience with data integration, reporting tools, and system testing methodologies.
- Familiarity with SharePoint, WordPress, and badging platforms.
- Ability to troubleshoot technical issues and implement sustainable solutions.
Communication/Interpersonal Skills:
- Strong written and verbal communication skills.
- Ability to explain technical concepts to non-technical users.
- Proven ability to collaborate across departments and build effective working relationships.
Administrative Skills:
- Excellent decision making and problem-solving skills with the ability to anticipate situations, independently investigate, analyze, plan, and develop evidence-based recommendations.
- Demonstrated attention to detail and accuracy.
