Job Summary

Assists the Translation Services Coordinator in the coordination of the translation program, ensuring proper documentation of translation program operation, including data entry, file maintenance, invoicing, and accounts payable. Provides dispatch operation of translation assignments. Supports the Client Service Specialists in responding to service requests received by phone, fax or from walk-in clients. Based on requests for service, identifies current need for new language translators. Supports the Translation Services Coordinator in promoting ITS in the community and seeking new clients in need of ITS services.

Your Role:

Archway’s Translation Services Administrator with the Interpretation and Translation Services (ITS)contributes by:

  • Participating in the coordination of daily translation services and the proper documentation process of all services provided, including database and translation request form.
  • Responding in a timely manner to service requests received by phone, fax, or other communication methods, including walk-ins.
  • Identifying the needs of the program for new language translators and other current needs.
  • Promoting translation services to clients who approach for quotes or have inquiries.
  • Implementing program standards, industry guidelines and policies of the organization.
  • Assisting in maintaining current contracts for translators.
  • Providing back-up support and relief to the Financial Coordinator as needed.
  • Assisting in program operations for the Artificial Intelligence (AI), and Machine Translation (MT) for use by the subcontractors.
  • Assisting the Translation Services Coordinator in proofreading translations before submitting the documents to the clients.
  • Accurately documenting all services provided, issuing invoices for the front desk orders, payments for the translators and billings for the accounts receivable clerk.
  • Performing other related duties as assigned.

This position is a great fit for someone who has a great attention and accuracy to detail, strong database entry skills, strong organizational and time management skills, and skilled in using Microsoft Office 365.

Getting an Interview–you will be considered if you have:

  • A diploma in Business Administration or another related field, or the equivalent in education and experience.
  • At least two years previous customer service experience.
  • Experience assisting independent subcontractors.
  • Experience in preparing contracts for translators is an asset.
  • Experience using Artificial Intelligence (AI) translation, Machine Translation (MT) is an asset.

The Job Requires you to have:

  • Sound knowledge of principles, ethics and types of interpretation and translation.
  • Ability to assist independent subcontractors (translators) working from remote locations.
  • Well-developed verbal, written, and active listening communication skills; able to communicate clearly and respectfully with people from diverse backgrounds, cultures, and varying levels of English.
  • Strong organizational and time management skills; able to balance and manage competing projects and priorities.
  • Skilled in using Microsoft Office 365, including Word, Excel, Outlook, PowerPoint and virtual meeting platforms.
  • Knowledge and ability in the use of Artificial Intelligence (AI), and Machine Translation (MT).
  • Knowledge and ability to use database programs.
  • Ability to speak, read and write two or more languages is an asset.
  • Ability to effectively interact in a diplomatic, collaborative, professional and results-oriented manner.
  • Skilled in being able to efficiently prioritize workload to respond to changing conditions, deadlines, and priorities.
  • Strong attention to detail and accuracy.
  • This position has a high degree of distractions and competing priorities, requiring the ability to effectively switch tasks.
  • This position has extended periods of sitting and screen/keyboard use.
  • This position works as part of a team.
  • A satisfactory Criminal Records Check is a condition of employment.
