We are currently seeking an Operations Coordinator, to join our Vaughan team based in our Toronto office.

Modern Niagara is seeking a highly organized and detail-oriented Operations Coordinator to support our growing Plumbing Service Division. This role is critical to maintaining the smooth execution of administrative, financial, and safety-related processes that enable our field and office teams to perform at their best. DUTIES AND RESPONSIBILITIES: Field & Scheduling Support

  • Assist with scheduling and dispatching of plumbers, supporting the assignment of quoted work to ensure timely job execution.
  • Respond to plumber inquiries (e.g., printing drawings, opening work orders, handling POs, FieldPoint support).
  • Prepare and submit JHAs, activity permits, Avetta/ISN submissions, and documentation for clients.
  • Work with municipal contacts to manage backflow licenses and ensure reports and repairs are completed/submitted within required timelines.
  • Create and maintain an online database for all client backflow prevention documentation.

Customer Service & Communication

  • Handle customer inquiries, disputes, and complaints, providing timely, professional resolutions.
  • Maintain and grow customer relationships by responding to questions about invoicing, scheduling, and billing.
  • Act as the first point of contact for new clients, ensuring AR setup is complete before job start.

Financial Administration

  • Collaborate with billing and accounts to clean up problematic invoices and disputes.
  • Work closely with account managers and project leads to confirm project billing timelines and accuracy of job costing.
  • Monitor T&M and quoted job WIP, ensuring all work orders are closed and invoiced in a timely manner.
  • Respond to clients regarding overdue PMs and provide updates on scheduling.

Documentation & Compliance

  • Maintain and update Form 1000s, licensing, safety training, and equipment calibration logs for plumbers and plumbing equipment.
  • Coordinate distribution of Toolbox Talks and other safety documents to field staff.
  • Oversee uniform/swag ordering, employee onboarding, and customer-specific documentation setup.

Contract & Project Coordination

  • Manage contract assignments, documentation requirements, and large project tracking.
  • Participate in bi-weekly reviews with internal stakeholders (service and account managers) to review open projects and work orders.

Technology & Reporting

  • Utilize FieldPoint and Power BI to manage and report on operational metrics, work orders, project progress, and financial KPIs.
  • Generate and interpret KIP financial reports to support divisional performance monitoring and billing alignment.

QUALIFICATIONS AND EXPERIENCE :

  • 3+ years of experience in an operation, administrative, or project coordination role—ideally in the plumbing or mechanical contracting industry.
  • Familiar with FieldPoint, Power BI, ISN, Avetta, and general construction documentation.
  • Strong working knowledge of WIP (work in progress) management, service billing cycles, and safety compliance.
  • Excellent written and verbal communication skills.
  • Detail-oriented, organized, and self-driven with the ability to prioritize and multitask.
  • Professional, customer-first approach to internal and external relationships.
