Qualifications
MINIMUM FORMAL EDUCATION/TRAINING:
- Completion of formal training program is required.
EXPERIENCE:
- Three years of directly related experience is required.
- Previous administrative work experience is required.
- Understanding of research environment, basic understanding of research contracts is required.
- Understanding of basic financial documentation is required.
- Experience evaluating large documents (contracts, reports, forms) for completeness, consistency, and compliance with guidelines required.
- Familiarity with payroll processes, timesheet submissions, and HR administrative procedures is required.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- Proficency with Microsoft Office 365 and Microsoft Office Suite is required.
- Strong reporting writing and review skills required.
- Exceptional attention to detail is required.
- Strong organizational and time management abilities, including task prioritization and managing multiple workflows simultaneously is required.
- Strong verbal and written communication skills is required.
- Ability to work independently with minimal supervision and take initiative is required.
- Accurate data entry and database maintenance skills is required
- Ability to audit, verify, and reconcile data across multiple systems is required
- Ability with handling confidential or sensitive information in compliance with privacy and security requirements is required.
- Proficiency with financial systems is required.
- Strong analytical skills, including the ability to interpret financial and operational data is required.
- Ability to prepare polished, accurate reports, summaries, tables, and supporting documents for management review is required.
- Discretion, tact, and confidentiality is required.
- Ability to learn new systems quickly Is required.

- Satisfactory work record, including satisfactory attendance and punctuality, is required.
OTHER JOB RELATED QUALIFICATIONS:
- SECURITY CLEARANCE: Successful candidates will undergo a background/ reliability check.
Key responsibilities
- Maintain a contract management log to monitor contract lifecycles, renewal dates, amendments, and compliance requirements.
- Coordinate with institutional offices (e.g., ORS, Finance) to verify that contract terms align with university policies and data access protocols.
- Flag approaching deadlines, discrepancies, and required actions for the Centre Director or Operations Manager.
- Maintain a centralized database of all affiliated MRDC researchers, students, and authorized users, ensuring information is accurate and up to date.
- Regularly audit the database to identify inactive users, expired access, or changes in departmental or institutional affiliation.
- Prepare reports on researcher activity or affiliation status when requested by management or national RDC partners.
- Coordinate with Statistics Canada and university partners to ensure alignment of researcher status with data access permissions.
- Process all purchase requisitions, vendor payments, and expense claims for MRDC using the university’s EPIC procurement system.
- Ensure purchases comply with institutional policies, funding guidelines, and budget allocations.
- Reconcile invoices against purchase orders, verify accuracy, resolve discrepancies, and follow up with vendors or Procurement Services as required.
- Maintain organized financial documentation for audits, reporting, and budget planning.
- Provide monthly or quarterly summaries of expenditures to support financial oversight.
- Collect and review quarterly activity reports, financial summaries, and utilization statistics required by MRDC, the national RDC network, or internal stakeholders.
- Compile data from multiple sources—researcher activity logs, access records, financial documents—and complete draft reports for management review.
- Verify the completeness, accuracy, and consistency of report content, flagging missing data or anomalies.
- Prepare supporting materials such as charts, tables, and written summaries to support decision‑making and annual planning.
- Assist in the submission and archiving of all quarterly reporting documentation.
- Serve as the first point of contact for MRDC inquiries, directing researchers, students, or external partners to appropriate resources.
- Schedule meetings, prepare agendas, take minutes, and support logistical planning for workshops, training sessions, or committee meetings.
- Maintain office supplies, equipment needs, and room bookings to ensure smooth day‑to‑day operations.
- Processes payroll time entry for support staff and students, as applicable.
- Other duties as assigned.

This is an in-person position located at the Bannatyne campus. Hours range from 0-10/week.
