About the role

We're looking for a Systems Support Analyst to join a dynamic team at the City of Edmonton. You'll be the key player in optimizing and enhancing our SAP Ariba system, collaborating with various teams across the City, the Edmonton Police Service (EPS), and the Edmonton Public Library (EPL).

In this role, you'll be instrumental in shaping the future of our procure-to-pay process. You'll go beyond day-to-day support, proactively identifying and implementing improvements that will directly impact our $2 billion annual spend and over 3,500 suppliers. What will you do?

  • Review and approve Ariba license requests to ensure compliance with requested roles and completeness of required training
  • Develop and maintain internal/external system onboarding and training guides/materials
  • Provide onboarding to all new City purchasers and contract managers per the license role requests
  • Onboard and provide refresher training to suppliers in their use of Ariba as required
  • Provide refresher training to individuals in business areas in their day-to-day use of Ariba as required
  • Proactively identify opportunities through data validation and gap analysis to apply best practises to the purchase order creation and advise business areas on solutions
  • Lead complex technical issue resolution for suppliers, performing in-depth root cause analysis and collaborating with technical teams to implement permanent fixes and preventative measures if there is a user error and reassign to Technology & Integration if a system error
  • Clear understanding of the systems to quickly and correctly determine root causes and solutions related to system issues for suppliers
  • Responsible for troubleshooting system requests related to purchasing from system users on issues and errors encountered
  • Engage with internal groups as required on issue resolution that is impacted by other areas such as Suppliers, SAP Ariba representatives, Technology & Integration, Contract Strategy, Legal Services, and Procurement as required
  • Understand which types of requests require prioritization Remedy ticket and manage accordingly, ensuring effective ticket completion & close out based on service level commitments
  • Complete and oversee the supplier enablement process for City, EPL & EPS
  • Responsible for onboarding of all suppliers to transact on the Ariba platform including, ensuring all communications to suppliers are vetted and accurate, as well as, identifying and verifying issues between systems (ECC and SAP Ariba) by cross-referencing data supplied by business areas, which can impact suppliers and business areas; arrange and facilitate all meetings to clarify all of the issues
  • Other related responsibilities

Qualifications:

  • University graduation in Business Administration, Industrial Engineering or a discipline as required by area of specialization
  • A minimum of two (2) years’ directly related working experience is required

Assets:

  • Supply Management Training (SMT) Diploma or Certificate from the Supply Chain Management Association (SCMA) or a Certified Professional Public Buyer (CPPB) certification from the Universal Public Procurement Certificate Council (UPPCC)
  • Project Management Professional designation
  • Related contract management designation or related accreditation
  • Supplier Performance Management experience
  • Knowledge of SAP Ariba Platform or equivalent P2P system
  • Project management knowledge and experience
  • Knowledge of change management

Skills required for success:

  • Expertise in data reporting, visualization & dashboarding tools
  • Skill in preparing technical reports and in making recommendation
  • Ability to establish and maintain effective relationships as necessitated by work assignments
  • Ability to understand and execute oral and written instructions of an advanced nature
  • Considerable skill in preparing technical reports and in making recommendations
  • Deep understanding of the SAP Ariba platform, including supplier enablement, downstream processes, and supplier performance management
  • Advanced analytical skills to interpret complex datasets, identify trends, and create clear, actionable reports and data visualizations
  • Experience with project management and process improvement, including the ability to gather, analyze, and synthesize data to drive effective change
  • Strong working knowledge of contract management best practices, procurement policies, and relevant legislation
  • Excellent communication skills to facilitate meetings, present complex information to non-technical groups, and build consensus
  • Ability to think critically, identify areas for improvement, and develop innovative solutions that enhance business decisions and processes
  • Proven ability to quickly learn and adapt to various software applications, including experience with systems like SAP ECC or S4 Hanna
  • Understanding and applying change management principles to ensure smooth system and process transitions
  • Proven ability to build and maintain strong, professional relationships with both internal teams and external suppliers
  • Strong ability to prioritize, coordinate, and manage multiple complex deliverables in a fast-paced, results-driven environment

Work Environment:

  • Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance
