Title: Labour Assistant

Reports to: Farms Production Manager

Based at: Mucci Farms Ltd., Kingsville, ON

Revised: October 2nd, 2023

Type of Employment: Full-Time, permanent, 6-days a week; and some additional hours which may include Saturdays, depending on workload and priorities.

Job Responsibilities and Accountabilities:

  • Train new employees and recently arrived employees in the use of Priva, keep Logs of employees training and re-training updated.
  • Validation and Correction of daily registrations from GHS and WHS employees, to make sure all the information is accurate.
  • Keep logs and records of data such as Attendance, Activities, Uniforms, Readers, Cellphones, Trials Hours, etc.
  • Keep boards with activities and employees’ tags and pictures updated.
  • Keep weekly/biweekly graphs updated (dashboards), either in posters or screens.
  • Complete new set ups in Priva, making sure all the connected pages are updated accordingly.
  • Do complete set up of new employees in Priva, looking at Categories, Crops, Departments, Cost Profile, Bonus Profile, etc.
  • Complete weekly reports of Labour, Production and Quality for Growers and Supervisors as needed/requested.
  • Set up Crops and trials with the data provided by growers.
  • Set up Count Sections for Crop Registration.
  • Audit Crop Registration data once a week.
  • Coordinate with other Departments to make sure that all hardware and equipment related to FS Performance such as: readers, cellphones, receivers, terminals, screens, concentrators, boosters, etc. are working adequately.
  • Generate accurate bi-weekly reports of Hours and Bonuses for Payroll Department.
  • Ensure that all forms that need signature from the employees are completed and sent to the office requesting.
  • Keep employee’s information updated in all pages, programs or Departments that need the information.
  • Enter daily projections and actuals in projections file.
  • Ensure packages are delivered to employees and get picked up from the main office.
  • Communicate with Uniforms company about new employees, shortages and changes.
  • Make sure paperwork gets delivered to the main office once a week.
  • Manage inventory of stationary items and cafeteria.
  • Assist the Growers and Supervisors with office related processes such as making copies, sending emails, scanning documents, etc.
  • Enter all employees' updates in the system such us: attendance, documents, disciplines, traveling, housing, medical, work location, work department, status, etc.
  • Assist the supervisors with Incident Reports.
  • Communicate to HR the incidents/accidents at work, manage the new folder for Incident Reporting, scan documents and maintain files updated.
  • Write, translate and issue Modified Duties Offers and send it to HR.
  • Send hours to HR when the employee lost time due to workplace incident.
  • Make sure all paper work received by the employee in the hospital/clinic is sent to HR (Form 8, FAF, Prescriptions, Etc.)
  • Coordinate transportation before hours or after hours for employees when they are in the hospital calling a Taxi or Company drivers.
  • Follow up to WSIB cases with HR and follow up No-WSIB cases that need work accommodations.
  • Request and send information to HR for payment of lost time through insurance when is not workplace incident/accident.
  • Coordinate receiving and assisting with HR the WSIB calls with the employees**.**

Knowledge, Skills, and Abilities:

  • 1-2 years’ experience in an Administration environment.
  • Ability to work independently and with minimal supervision.
  • Ability to work under pressure, to multi-task and to reprioritize tasks on a daily basis.
  • Ability to communicate effectively (written, oral and spoken) in English and additional languages (Spanish, will be considered an asset).
  • Experience with Microsoft Office and Microsoft Outlook.
  • Familiarity with Priva computer software will be considered an asset.

Physical Abilities:

  • Must be able to sit, stand, and/or walk for extended periods of time.
  • Must be able to bend, stretch, twist, or reach with body, arms, and/or legs.
  • Must be able to lift material regularly up to 14 kg / 30 lbs; and occasionally up to 23 kg / 50lbs.
  • Able to climb stairs and stand on feet for an extended period of time.
