Work Description
The Executive Assistant (EA) will provide high-level administrative support to the Presidents of our homebuilding division, including Sales, Marketing, Construction, and Land Development. This role involves coordinating schedules, meetings, communications, and reports to help ensure efficient day-to-day operations. The EA will assist with organizing information, projects and events across all departments. The position requires strong organizational and communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.
Major Responsibilities:
Executive & Administrative Support

Prepare, edit, and proofread correspondence, reports, proposals, presentations, and meeting materials.

Manage calendars, schedule meetings, and ensure all documentation and logistics are handled accurately and on time.
Communication and Coordination
- Manage the flow of information between internal teams, external partners, and stakeholders.
Prioritize and triage inquiries, ensuring timely follow-up on critical matters.
Meeting and Event Management

Plan and coordinate meetings, conferences, and company events, including room bookings, agendas, minutes, and follow-ups.

Arrange travel and accommodations for executive activities and corporate initiatives.

Prepare and print relevant materials for meetings
Operational Support

Provide administrative and coordination support for planning, budgeting and project execution activities

Conduct research, analyze data, and preparing summary reports or presentations to aid decision-making.

Track key deliverables, decisions, and follow-ups to ensure accountability and progress
Financial and Contract Administration
-
Manage executive expense reports and reimbursements in compliance with company policy.

Coordinate the administrative review and signing of contracts and agreements, maintaining organized records and ensuring proper authorization.
Confidentiality and Professional Representation
-
Handle sensitive and confidential information with discretion.

Represent the Co-Presidents and the organization with professionalism in all interactions, fostering strong relationships across the company and with external stakeholders.
Knowledge, Skills and Abilities
-
Post secondary education in a related field of study.

5+ years of experience as an Executive Assistant.

High proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and SharePoint.

Proactive and effective organizational and project coordination skills.
-
Exceptional verbal and written communication skills.
-
Strong attention to detail.

Ability to handle confidential information with discretion.

Ability to anticipate needs, problem-solve, and take initiative in a fast-paced environment.

A combination of education and experience will be considered.
Working Conditions and Effort

Work is performed in an office environment.

Minimal physical effort – extensive sitting/standing and use of computers.

Works under frequent, known deadlines where workload may surge for short durations.
