Position Summary |
The Administrator, Property Management is responsible for providing property administration support to the Edmonton team with the day-to-day operations of Bell Tower, the Bell Annex and MNP Tower.
Regular work hours are Monday to Friday 8:00am to 4:30pm. The Property Administrator will report directly to the Property Manager.
Key Responsibilities |

Respond to day-to-day needs of tenants and owners
-
Prepare and distribute monthly and quarterly management reports for the Edmonton portfolio
-
Prepare and distribute daily correspondence for the property management team
-
Coordinate, issue purchase orders and budget future years for projects assigned
-
Track and calculate percentage rent for retail tenants and distribute to tenants as required
-
Assist the accounting team to track, calculate and distribute all tenant charge backs, including after-hours HVAC, percentage rent and collection information as required
-
Reconcile and distribute all tenant utility consumption and coordinate quarterly and annual utility reconciliations
-
Update, maintain and distribute emergency procedures handbook
-
Update and maintain the tenant contact information list in spreadsheet and in the Aspen App
-
Keep Tenant Handbook, Contractor Manual and all information in website documents up to date
-
Administer Building Fire & Life Safety Program
-
Draft and issue notices to tenants regarding building operations
-
Assist the property management team with the management of the amenities of the property, including preparing temporary license agreements and bicycle cage license agreements

Collect and review all tenant and contractor insurance certificates
-
Assist with the arrangement and coordination of special projects
-
Monitor and respond to tenant questions via the Asepn App in a timely manner
-
Monitor and update the Aspen App as needed
-
Maintain petty cash flow monthly, including expense reports
-
Prepare and complete vacancy space checklists for property management and operations
-
Provide cleaning vacancy reporting to janitorial contractor on a monthly basis
-
Assist leasing in the set-up of all vacant spaces
-
Coordinate all tenant and building signage with the assistance of the Property Manager
-
Assist the property management team with the coordination, draft and final budgets for the portfolio, including data entry into Yardi and distribute as required
-
Monthly follow up and collection of all outstanding receivables for the portfolio
-
Provide support and back-up to Reception/Administrative Assistant daily
-
Coordinate building after hours security and access
-
Maintain and track property chattels
-
Maintain electronic and hard copy files
-
Provide support and back-up for property amenities
-
Provide support and back-up for Flex spaces
-
Participate in community involvement projects
-
Other duties as assigned by Property Manager
Qualifications |
-
2 + years solid administrative experience
-
Real estate experience is an asset
-
Completion of a post-secondary program is a requirement
-
Solid proficiency in Microsoft Word, Excel and Outlook
-
Basic IT troubleshooting an asset
-
Demonstrated organizational skills, ability to meet deadlines, and attention to detail in high volume environments
-
Ability to work cohesively in a team environment and develop and sustain cooperative working relationships with employees, tenants and industry partners
-
Honesty and integrity combined with a high level of initiative and dedication
-
Strong team player with superior customer service skills
-
Ability to work in a fast-paced and team-oriented environment
-
Ability to communicate effectively and professionally, verbally and in writing

Successful City of Edmonton Police Information/Criminal Record Check and Education Check
