We are seeking a Packaging Materials Coordinator to elevate our Procurement team. As our Packaging Materials Coordinator, you will be responsible for executing the packaging purchase plan, managing packaging inventory across our co-packing network, and coordinating the freight and logistics needed to keep materials in the right place at the right time. This role works closely with the Procurement, Operations, and Quality teams, as well as our co-packing partners and freight providers, to ensure packaging materials are available, tracked, and used as efficiently as possible. Job Responsibilities

Execute the packaging purchase plan: generate purchase orders, confirm order details with suppliers, and coordinate delivery schedules against production requirements. Track open orders, follow up with suppliers on confirmations and delivery timelines, and escalate delays that put production runs at risk. Receive purchase orders promptly in the ERP system, verifying quantities, pricing, and dollar values against POs and resolving discrepancies with suppliers. Manage packaging inventory across co-packer and warehouse locations, coordinating transfers and reallocations to maximize utilization and minimize waste and obsolescence. Coordinate freight for packaging materials, including booking shipments, arranging inter-site transfers, and following up with carriers to ensure on-time delivery. Own data management for packaging procurement: keep all records accurate and up to date across systems, including purchase orders, receipts, inventory balances, lot numbers, transfers, supplier information, and material specifications. Maintain the master record of all graphics and artwork, tracking current versions, revision history, and where each version is held in inventory, and flagging obsolete artwork for disposition. Perform month-end reconciliations of packaging inventory and purchase activity, investigating and resolving variances with co-packers and finance. Partner with the Operations and Quality teams to confirm material availability for production runs and ensure all packaging materials meet quality standards and specifications. Work with the Quality team and co-packers to ensure FIFO/FEFO practices are applied to packaging inventory. Proactively communicate order status, inventory positions, risks, and resolution timelines to internal stakeholders and co-packers. Identify slow-moving or obsolete packaging and collaborate with relevant teams to develop disposition plans. Propose process improvements to enhance efficiency in materials planning, movement, and recordkeeping. Support procurement-related projects and additional assignments as necessary.

Qualifications & Competencies

A degree in Supply Chain Management or Business, or 0–2 years of experience in a related field is an asset. Proficiency in Google Workspace (Sheets, Docs, Gmail) and Microsoft Office (particularly Excel), along with basic data analysis skills. Familiarity with an ERP system (NetSuite) and MRP system (StockIQ) is a strong asset. Experience coordinating freight or working with co-packers/3PLs is an asset. Strong organizational skills with attention to detail, this role lives in the details of orders, inventory, and records. Ability to work effectively in a team and adapt to a fast-paced environment. Strong communication skills and persistence in following up with suppliers, carriers, and partners. Proactive and entrepreneurial, comfortable finding answers and making decisions. A passion for learning and making an impact.
