POSITION SUMMARY:

Under the direction of the Project Director and Clinical Director of the Health Information System (HIS) Project, the Transformation & Project Specialist plays a key role in supporting organizational change, workflow transformation, and project execution related to the deployment of the Epic system. This role ensures alignment between clinical, operational, and IT teams while focusing on process improvements, stakeholder engagement, and change management strategies. The specialist works closely with project directors, hospital leadership, regional project teams, subject-matter experts (SMEs), and end-users to analyze workflows, track project progress, and support change adoption across the organization.

RESPONSIBILITIES:

  • Create change management strategies by identifying potential barriers, developing communication plans, and facilitating user engagement.
  • Communicate updates, expectations, and key project developments to all stakeholders. Support the development of FAQs, training content, and end-user guides to assist in adoption efforts.
  • Organize and support workgroup meetings, workshops, and readiness sessions. Identify risks and resistance points, proposing mitigation strategies to ensure smooth adoption.
  • Assist in the assessment, redesign, and optimization of clinical and operational workflows impacted by Epic.
  • Work with stakeholders to ensure that Epic implementation aligns with best practices and hospital objectives. Act as a bridge between clinical and IT teams to ensure smooth transition and minimal disruption.
  • Support HIS project planning, timeline tracking, and milestone monitoring. Assist project directors in ensuring project deliverables are met on time and within scope.
  • Document project risks, issues, and mitigation strategies, ensuring alignment with overall project goals.
  • Collaborate and communicate with leadership, Epic analysts, Atlas application team, subject matter experts, and super users to track progress and resolve implementation challenges.
  • Coordinate and support Epic system testing, validation, and troubleshooting during the pre-go-live phase.
  • Support the go-live and post-go-live transition, helping users adjust to new workflows.
  • Work with super users and leadership to gather feedback and provide system optimization recommendations.
  • Other duties as operationally required

EDUCATION & EXPERIENCE REQUIREMENTS::

Undergraduate degree in health-related field. 2+ years of experience in project management, clinical application experience, change management, quality, organizational development, or business transformation. Registered with appropriate governing body or College.

SKILLS REQUIREMENTS:

  • Experience in surgical services such as Operating Room, day surgery, and/or Perioperative and post-operative.
  • Familiarity with change management methodologies (e.g., PROSCI, ADKAR, Kotter, ITIL, Lean Six Sigma).
  • Excellent communication and interpersonal skills to facilitate discussions between technical and clinical teams.
  • Strong organizational and problem-solving skills, with the ability to analyze workflows and identify efficiency gaps.
  • Ability to handle simultaneous tasks with multiple clients under tight deadlines.
  • Demonstrated effective interpersonal, leadership, and communication skills

PREFERRED SKILLS & CERTIFICATIONS:

  • Epic implementation knowledge considered an asset
  • CAPM or PMP Certification considered an asset
  • Certification in PROSCI Change Management considered an asset
  • ITIL Certification considered an asset
