Opportunity
MacEwan University is seeking an Event Assistant for a casual opportunity with the Office of the Vice-President, University Relations.
You will support the planning, coordination, and delivery of events that strengthen engagement across the university community and with external partners. This role is ideal for a student or early career professional interested in event planning, communications, and project coordination. Working closely with the University Relations Strategic Coordinator and Event Specialist, the assistant will contribute to the smooth execution of the 2026 Downtown Campus Block Party.
This is a casual position averaging approximately 21 hours a week.
Key responsibilities include:
- Maintaining performer, sponsor, exhibitor, and logistics records by keeping information current, monitoring updates, ensuring required documentation and approvals are filed, and tracking sponsor and exhibitor requirements;
- Organizing event documentation by filing contracts, waivers, permits, safety materials, and meeting notes to ensure accuracy, completeness, and accessibility;
- Assisting with planning coordination by supporting timelines, task tracking, meeting scheduling, vendor and partner communication, and general event inquiries;
- Assisting with preparation of event materials and readiness items, including event day signage, décor, name tags, participant packages, layout references, deliveries and pick-ups, and maintaining inventory logs for supplies and equipment;
- Supporting volunteer functions by preparing materials, assisting with orientation, and collecting documentation;
- Providing on‑site event support by greeting vendors, performers, exhibitors, and guests; supporting the opening and closing of event zones, and relaying information for site checks and operational updates; and
- Supporting post-event activities, including gathering and organizing feedback and materials, and assisting with invoice processing.
Skills
You will have:
- Strong interpersonal and communication skills, with the ability to interact professionally and respectfully with a wide range of individuals;
- Strong attention to detail with the ability to properly file records and other documentation;
- The ability to present information and inquiries in a courteous, helpful, and businesslike manner in both routine and high-pressure situations;
- The ability to remain calm and effective when issues arise in short timelines;
- The ability to work efficiently in a fast paced, customer focused environment while maintaining attention to detail; and
- Self-motivation, adaptability, and take initiative in completing assigned tasks independently and reliably.
Qualifications
- A minimum of a high school diploma.
- A minimum of 1 year of experience in a hospitality, customer service, or events‑related environment.
- Experience working collaboratively with diverse groups, contributing to a positive and inclusive team environment.
- Experience in a customer service-oriented role.
- Coursework or a certificate in event management, hospitality, communications or a related field would be considered an asset.
- Familiarity with the university campus, including building layouts and key service areas would be considered an asset.
- An equivalent combination of education and experience may be considered.
Position Requirements
- This position is on campus only.
- The ability and willingness to move boxes, signage, décor, and event supplies as part of routine event preparation and tear‑down.
