Position Overview Trillium HealthWorks is the largest health infrastructure renewal plan in Canada's history and is essential to meeting the community's future health care needs. As part of the Trillium HealthWorks plan the Peter Gilgan Mississauga Hospital is being built to replace the Mississauga Hospital at 100 Queensway West, Mississauga, ON. The Peter Gilgan Mississauga Hospital will consist of a new 22-storey, 2.8 million sqft. hospital building with over 950 beds and a full complement of clinical and non-clinical support programs.

Trillium Health Partners is seeking an experienced Project Coordinator to join its Capital Planning and Redevelopment portfolio. Reporting to the Manager of Planning and Design (Mississauga Hospital (Msite), the Project Coordinator will support the completion of the design phase and ongoing work in the construction phase of the project. This role will involve collaboration with a large team of THP and external members working on contract administration in an Infrastructure Ontario P3 delivery framework. The role will entail, managing and coordinating documents and coordinating the workflow that informs the progress of construction related submittals and returns.

General Duties

  • The successful candidate will initially be focused on administrative work for Variations (changes to the design). This will involve logging, tracking, filing, reading, queuing others to act, drafting, editing and posting documents as they progress through the stages of Variation.
  • The successful candidate will work closely with a contract admin. project manager who manages the work, program specific project managers who lead the work and external consultants who author Variations.
  • The successful candidate will coordinate work on variations with designated people from the Project Company (PCo) - the contractor.
  • The successful candidate will learn and work with two separate project management information systems (PMIS), such as Kahua, Procore or Aurigo Software Technologies. They will assist in daily upkeep of these systems.
  • The successful candidate will receive and respond to a large volume of emails, texts and other forms of communication produced from the churn of a large-scale project.
  • The successful candidate will attend and convene online meetings (via Teams) with teammates, consultants, stakeholders, and members of the Project Company.
  • As the project progresses the successful candidate’s role will likely evolve into other aspects of contract administration which may include but is not limited to coordination of workflows for construction submittals, request for information (RFIs), Works Reports, construction schedule, construction budget etc.
  • The successful candidate will be required to work interchangeably with other Project coordinators and perform cross-functional duties as requested; performing other duties consistent with the job classification as required

Skills & Experience

  • Knowledge of and experience with hospital operations and environments.
  • Excellent project coordination and organizational skills.
  • Experience implementing healthcare capital renovation projects, work on large projects would be an asset.
  • Experience in contract administration on construction projects
  • Experience reading and understanding construction documents including drawings, specifications, reports and schedules

Qualifications

  • University or College degree, preferably in Construction Management, Engineering, Architecture or a design field related to building construction. An equivalent combination of education and experience will be considered.
  • Minimum of 3 years project coordination experience working in a hospital setting or with a hospital as a client, ideally delivering a DBFM project.
  • General knowledge of capital budgets, accounting and financial management skills
  • Good competencies using Microsoft applications including Excel, Word, Outlook, PowerPoint, Bluebeam and Teams
  • Experience with PMIS systems such as Kahua, Procore or Aurigo Software Technologies or similar
  • Excellent with time management when working with workloads, schedules and deliverables
  • Excellent oral and written communication and interpersonal skills
  • Superior problem-solving skills
  • Strong planning and analytical skills
  • Able to work effectively, independently and with a team
