About the role

The Property Manager is responsible for supporting the Building Managers, Property Administrators & Management in successfully managing the sites in a professional manner.

This position is a contract role providing maternity leave coverage.

  • Oversee the day-to-day operations of a portfolio
  • Prepare and issue all legal forms, including but not limited to N1, N2, N4, L1, L2
  • Following-up with and collecting delinquent rents
  • Managing signed leases to set up new tenant files, and increase rent in accordance with the Residential Tenancy Act
  • Process applicants, conducting credit and reference checks and prepare leases for successful applicants (tenants)
  • Creating and maintaining proper and accurate records on all properties and tenants
  • Arranging and maintaining maintenance contracts approved by Management
  • Maintain software system with accurate and updated records of all tenants, contractors and contracts
  • Assist and cover-off other Property Manager(s) when necessary
  • Track and maintain inspection/maintenance schedules
  • Preparing various reports upon request by Management
  • Follow-up on contract renewals including obtaining alternate quotes in the month in advance of contract expiring
  • Regularly conduct site inspections, arrange and monitor required maintenance as necessary
  • Conduct face-to-face meetings with tenants and trades when necessary
  • Responsible for all compliance inspections – weekly/monthly/quarterly/annual inclusive of fire testing
  • Give access to trades when required
  • Accruals
  • Budget creation/ updates and variance reports

Risk Management/Capital Projects

  • Ensure ongoing compliance with current codes, technical safety standards and legislation

  • Assist with effective and prompt resolution of municipal and provincial work orders

  • In cooperation with insurance entities, assist with the completion of quarterly or annual risk assessments, incorporate into capital or operations planning and implement as required to mitigate risk

  • Be aware of Occupational Health and Safety Act, WHM IS, AODA, PI PEDA, Human Rights Code

  • Other duties that may be assigned from time to time

Requirements

  • A passion for excellence in customer service delivery;
  • Minimum 5 years Property Management experience is required;
  • Exceptional written and oral communication skills;
  • Excellent organizational skills with a strong ability to multi-task;
  • Strong interpersonal skills;
  • Strong command of MS Office products: Word, Excel, PowerPoint;
  • Detail-oriented; able to resolve problems using facts, sound reasoning and common sense;
  • Forward thinking with an ability to develop creative strategic solutions to issues;
  • Strong follow-up skills with the ability to effectively resolve difficult issues in a timely manner; and
  • Experience with Yardi property management systems considered an asset
