About the Role:
Under the supervision of the Director of Corporate Services, the Scheduling Coordinator provides calendar management to the Agency’s Directors. This role will also work in collaboration with multiple departments to coordinate the scheduling of direct support staff working in 24-7 continuous care programs. In this dynamic role, the individual will be required to interact with a diverse group of people in a broad range of situations using diplomacy, tact, and professionalism.
**Hours of Work:**Full Time
**Location:**Guelph. Partial remote work may be available

Role Responsibilities:
Scheduling and Calendar Management
-
Manage calendars for the two Directors of Clinical Services and the Director of Corporate Services including:
-
Booking internal supervision meetings, general program support meetings, and external stakeholder meetings using scheduling tools and calendars;
-
Manage internal and external requests for meetings and resolve scheduling conflicts
-

Communicate in a timely and professional manner with external stakeholders about appointment availability
-
Provide timely updates to relevant stakeholders and Leadership team members where there is a change in schedule
-
Meet weekly with each Director concerning calendar management
-
Prepare meeting information and materials as requested by Directors
-
Participate as a member of the Administrative Support Team
-
Other projects and additional administrative support, as assigned by Directors
Schedule Coordination
-
Manage and maintain staffing schedules for all continuous care (24/7) program staff and any other staff teams (as directed by the Director of Corporate Services) including:
- Resolving scheduling conflicts, including unexpected scheduling gaps
- Managing internal staff schedules and accommodating special requests as directed by Finance and Human Resources
- Auditing schedules on a weekly basis to ensure staffing level targets are met

Provide consultation for basic Manager or employee questions concerning schedule maintenance

Liaise with Clinical Leadership, Finance and HR to support use of automated employee “on-call” notification system and attendance management systems
-
Work with Finance and direct service staff to reconcile shifts in time management systems, where required
-
Contribute to maintenance of process documentation related to scheduling (SOPs)
-
Prepare weekly staffing report for Human Resources and Finance

Complete other projects and duties or administrative support as assigned by the Director of Corporate Services
Qualifications:
-
Completion of Post-Secondary education (College Diploma or University Degree) in Office administration, Human Resources or Business Administration; alternative education and/or experience may be considered
-
Minimum of 1 year progressive experience in an similar administrative role, including experience in scheduling within a continuous operation environment
Experience in executive calendar management an asset

Experience in project management an asset
-
Knowledge of Ontario employment legislation
-
Experience working in a not-for-profit environment is an asset
-
Experience working in social service or healthcare settings an asset
-
Lived experience related to addictions and/or mental health an asset

About Stonehenge Therapeutic Community
Stonehenge Therapeutic Community was founded in 1971 as a small, farm-based residential treatment program for men and women with a history of acute or chronic substance use issues. Since these modest beginnings, Stonehenge has expanded to offer a wide scope of both residential and community-based treatment options in order to service more diverse needs.
We work together with individuals, families and communities impacted by substance use and co-occurring mental health issues to restore hope, dignity and self-respect and to support ongoing opportunities for positive change and growth.
A continuum of not-for-profit treatment services are available to men and women with chronic and acute drug and alcohol addictions including co-occurring mental health issues. Our community-based programs reach out to those needing housing, those in the courts, or those just needing help accessing various health services.
With 50 years of experience, we are proud of our roots in the community.
