About the role

The Opportunity:

Make your mark while you grow your career! As an Administrative Assistant, you will be a key member of the Bitumen Production team and will have an opportunity to work with experienced professionals from the bitumen production team. Reporting to the Lead, BP Training, this position will suit administrative professionals that embrace autonomy to complete work efficiently and accurately.

  • Job location: Horizon Site - Fort McMurray, Alberta
  • Shift schedule: 4 x 3, 10-hour shift
  • Safety sensitive position: Yes

Key Accountabilities:

  • Act as a point of contact for new employees for orientation and coordinate the administrative aspects for new hires (preparing onboarding documents, scheduling orientations, ensure completion of required documents, etc.)
  • Liaise with external stakeholders to arrange registration and training logistics. Maintain accurate records of vendor contracts, training attendance and evaluation feedback
  • Generate regular and ad hoc reports from the Learning Management System (LMS) to track training, compliance and learning progress
  • Provide general administrative assistance with tasks such as bulletin board updates, maintaining and scheduling in-person and WebEx meetings, mail distribution and provide vacation coverage as needed

What You Bring to the Role:

  • Grade 12 Diploma or GED
  • 3-5 years office administration experience or a combination of the equivalent
  • Preferably, experience working on site in a construction or oil sands environment
  • Previous experience working within a Learning Management System (LMS)
  • Proficiency in Microsoft Office applications, particularly Excel, with experience in functions such as VLOOKUP regarded as an asset
  • Exceptional attention to detail along with outstanding people skills and organizational skills
