About the role
Position Summary Under the direction of the General Manager or other location management, the Administrative Assistant is a customer service focused position that provides administrative support for the facility to ensure the office is operating effectively and efficiently.
Job Responsibilities
- Responsible for opening the facility daily and preparing it for business. Unlock doors, turn on lights, turn on electronics (copier), etc.
- Acts as the first point of contact for the facility. Answers phone calls and greets visitors; answers individual question and/or directs the individual to the proper department/person.
- Provide high level internal and external customer service by answering questions, completing administrative tasks and support in a timely, efficient manner.
- Schedule and/or coordinate set up, scheduling of training, meetings, luncheons, tours, appointments, etc. for General Manager and facility as needed
- Responsible for setting up new vendors as per company policy and procedure as directed.
- Assist operations and other departments by completing maybe included but not limited to:
- Responsible for setting up new customers as per company policy and procedure.
- Open jobs in the system by utilizing customer work order or customer purchase order.
- Verifies completed is ready to bill and shipping information is in the system for PO.
- Completes job cost analysis for specified job(s) as assigned.
- Responsible for data entry and maintenance in the company’s Customer Relationship Management System (CRM) to include:
- Assisting with gathering information for the team to assist HR, Accounting, Safety and/or other Company or Customers.
- Observe all safety rules and Best Practices; Follow all company policies and procedures.
- May be required to complete reports in Excel, Word or other company sponsored programs as assigned.
- Demonstrate a continual effort to improve operations, decrease turnaround times, streamline work processes and work cooperatively with other departments to provide a quality and seamless operation.
- Perform filing both electronically and paper.
- Clerical support for quote and final report preparation for customers.
- Minor cleaning if needed in between scheduled cleaner visits.
- Completes other duties as assigned.
Required Experience And Qualifications
- High School diploma or GED and 1 year of a mix of education and experience.
- Strong MS office skills; CRM- customer relationship software experience a plus.
- Strong written and verbal communication skills
- Demonstrated Customer Service skills
- Able to work independently; Able to organize, plan and prioritize work
- Problem Solving skills
