JOB SUMMARY
The Sales Administrator supports the Business Development team by preparing quotes, bids, and proposals, and maintaining accurate sales data within the CRM system. This role coordinates with internal teams align pricing, resources, and timelines, while supporting client communication, follow-ups, and post-sale activities.
The position may also assist with client meetings, occasional site visits, and marketing initiatives such as trade shows and events. Strong organization, attention to detail, and the ability to manage multiple priorities are essential.
RESPONSIBILITIES AND DUTIES
- Assist Business Development Manager in preparing professional quotes, bids, and proposals for telecom and industrial clients (e.g., radio systems, CCTV, network infrastructure)
- Track sales opportunities in the CRM system (NetSuite), ensuring accurate data entry and pipeline visibility
- Support the Business Development Manager with client meetings, site visits, and follow-up actions
- Coordinate internally with engineering, field service, rentals, and procurement to align pricing, delivery timelines, and resource availability
- Consult with clients after the sale to provide ongoing support
- Conduct occasional site visits
- Support marketing efforts such as trade shows, exhibits, and other events
- Perform other duties as assigned.
QUALIFICATIONS
- 2–5 years of experience in a sales support, administrative, or customer service role; experience in telecommunications or industrial environments is an asset.
- High School Diploma required; post-secondary education in Business Administration, Marketing, or a related field is an asset.
- Experience preparing quotes, bids, or proposals is preferred.
- Proficiency with CRM systems (e.g., NetSuite) and Microsoft Office Suite (Excel, Word, Outlook).
- Experience coordinating with multiple internal teams (e.g., engineering, operations, procurement) is an asset.
- Strong attention to detail with a high level of accuracy in data entry and documentation.
- Ability to manage multiple priorities in a fast-paced environment.
Other Requirements
- Must have legal authorization to work in Canada.
- Ability to successfully pass a Pre-Access Drug & Alcohol
- Valid driver’s license, clean driving abstract, and reliable vehicle with proof of insurance.
- Must successfully complete background and motor vehicle checks.

RELATIONSHIPS
The Sales Administrator reports directly to the General Manager. The incumbent also works directly with:
- Procurement Department
- Sales Department
- Service Department
- Rental Department
AUTHORITY
The Sales Administrator holds the authority to do the following:
- Recommend and implement measures to improve and streamline departmental processes.
- Assess situations or circumstances and make sound, independent decisions.
- Work autonomously with minimal supervision.
PHYSICAL DEMANDS
The Administrator will spend approximately 80% of their day sitting, 15% walking or standing, and 5% lifting boxes weighing up to 20 lbs. The role requires extended periods of computer use, which may result in eye or joint strain associated with operating computer equipment.
