ClimateDoor is a Vancouver-based climate venture growth partnership. We help climate ventures scale through AI-enabled, high-touch growth services. To date we have supported 150+ companies and helped them raise over $82M in venture capital, and we are scaling firm revenue from roughly $1.7M toward $10M.
The role
We are looking for a relentlessly reliable, detail-obsessed operator to own the finance and operational execution that keeps the firm running. You report directly to the COO. You are the person who makes sure invoices go out on time, contracts stay current, our bookkeeper does their job, and nothing falls through the cracks. You start by owning execution and being the dependable engine behind our finance operations. As you build trust, you grow into designing the systems that let us scale, on a path toward an Operations Manager scope.
What you will own
Finance execution (from day one) Prepare and issue every client invoice on a reliable schedule. Nothing late, nothing forgotten. Process and track monthly contractor payments. Own accounts payable intake: gather vendor bills, organize them, and upload to Dext and QuickBooks Online. Review expense coding in QuickBooks and flag anything miscategorized. Maintain the sales tracker. Review travel and expense reimbursements. Light monthly financial audits to flag increases or inconsistencies.
Accountability and follow-through (from day one)
Be the single point of accountability for our outsourced bookkeeper. Confirm that reconciliations, month-end entries, and financial statements are done on time and correctly, and chase when they are not. Run weekly AR aging. Chase overdue invoices, route them to project leads, and follow a defined collections sequence. Own contract tracking: end dates, renewals, and reminders. Send and manage contracts through DocuSign. Creation of new contracts. Drive adoption of our operational tools, forms, and processes across the team. Chase people to actually use the systems we put in place, in Asana and elsewhere.
Building and improving (grow into)
Stand up a real collections system: review cadence, an owner per overdue invoice, an escalation sequence, and clear approval levels. Build a 4 to 8 week rolling cash forecast and a payment calendar covering payroll, GST/HST, and key vendors. Create a consistent monthly reporting package: budget vs actual, revenue by client, AR aging, and runway. Write and implement SOPs, an expense policy, vendor onboarding, and a month-end close calendar. Identify process gaps, design the fix, and roll it out.
Who you are
Relentlessly reliable. You do not drop balls and you do not need to be reminded twice. Detail-obsessed with numbers. You catch the miscoded expense and the missing invoice before anyone else does. Comfortable holding others accountable, including external vendors and senior team members. You chase effectively without becoming a nuisance. Experienced with QuickBooks Online, or fast to learn it. Familiarity with Dext, DocuSign, Asana, and Notion is a plus. A self-starter who can take a messy, ad hoc process, turn it into a documented and repeatable system, then run it.
Nice to have
Bookkeeping or accounting background. Experience in a consulting, agency, or professional services environment. Interest in the climate and clean economy space.
Logistics
Part-time to start, engaged as a contractor, with a path to full-time. Remote. You do not need to be based in Vancouver.
