About the role

  1. Provide general administrative support for the Director/Manager and the study team.

  2. Respond to staff inquiries, resource requests and change requests.

  3. Assist in determining eligible candidates for interviews.

  4. Provide guidance to new members of staff regarding processes and procedures.

  5. Create and maintain study team organizational charts.

  6. Ensure that timesheets are completed correctly according to appropriate guidelines and filed.

  7. Collect and enter staffs’ time for payroll and manage PHRI timesheets

  8. Process financial invoices, credit card reconciliations as well as staff and meeting attendee reimbursements (ensuring that expenditures meet eligibility requirements of the relevant funding bodies).

  9. Organize internal and external study meetings (e.g. Investigator, Study Committees, and Study Sponsor).

  10. Prepare domestic and international travel and accommodations and have a strong understanding of how to book the most cost effective and logistically planned arrangements.

  11. Create and maintain a detailed master meeting database of conference delegates.

  12. Develop, manage, and maintain databases and tracking tools for required study documents.

  13. Edit and maintain websites and digital content.

  14. Reconciliation of accounts on completion of events.

  15. Investigate inconsistencies and resolve them.

  16. Assist in drafting documents as requested by supervisors.

  17. Other duties as assigned

  18. Bachelor’s Degree or College Diploma in Business or Office Administration.

  19. Minimum 5 years’ experience with large clinical trials.

  20. Thorough knowledge of the Microsoft Office Suite (e.g. Word, Excel, Outlook, PowerPoint, Access) and databases.

  21. Minimum 3 years’ experience in a multi-faceted position with strong administrative skills.

  22. Demonstrated interpersonal skills and teamwork skills.

  23. Must be capable of setting priorities, working under pressure and adapting to change The following is preferred:

  24. Working knowledge of PHRI systems, processes, organizational structure and SOPs

  25. Experience with the management of investigational products

  26. Working knowledge of research methodology is preferred.
