THE ROLE IN A NUTSHELL

Base Salary: $51,383 - $79,261

The Concierge & Executive Support Coordinator serves as the face of GreenShield and the first point of engagement for clients, senior leaders, executives, and VIP visitors, delivering a polished, executive-level experience that reflects the organization’s brand and values.

This is a professional role requiring independent judgment, discretion, and a high degree of executive visibility. In addition to providing high-touch client and visitor engagement, the role supports executive and client environments, onsite events and meetings, office operations, and provides backup support for lease administration activities. This is not a general front-desk or clerical role.

Key Responsibilities:

  • Serve as the face of GreenShield and the first point of engagement for clients, senior leaders, executives, and VIP visitors
  • Deliver a consistently professional, executive-level experience in highly visible executive and client environments
  • Act as a trusted presence, anticipating needs and resolving issues with discretion, professionalism, and sound judgment
  • Support confidential materials, executive communications, and sensitive interactions with a high degree of confidentiality
  • Serve as backup support to Executive Assistants as required to ensure seamless executive and client coverage
  • Serve as the face of GreenShield and the first point of engagement for clients, senior leaders, executives, and VIP visitors
  • Deliver a consistently professional, executive-level experience in highly visible executive and client environments
  • Act as a trusted presence, anticipating needs and resolving issues with discretion, professionalism, and sound judgment
  • Support confidential materials, executive communications, and sensitive interactions with a high degree of confidentiality
  • Serve as backup support to Executive Assistants as required to ensure seamless executive and client coverage
  • Ensure the client and executive areas meet executive-level presentation standards at all times
  • Oversee readiness of boardrooms and client spaces, coordinating vendors and internal partners as required
  • Support day-to-day functionality of client-facing spaces to ensure a seamless executive and visitor experience
  • Provide onsite support for executive meetings, board meetings, client visits, and events
  • Coordinate room set-ups, catering, technology readiness, and day-of logistics
  • Support the coordination and execution of GreenShield events, providing proactive communication to senior executives
  • Support office operations and lease administration activities
  • Manage visitor security badge
  • Serve as backup to the Lease Administrator as required

WHO WE'RE LOOKING FOR

  • Post-secondary diploma or degree required
  • Minimum 3+ years’ experience in executive support, office operations, professional services, or hospitality-driven environments
  • Experience supporting senior leaders and handling confidential information required
  • Experience supporting facilities, real estate, or lease administration activities is an asset
  • Strong organizational, communication, and document management skills
  • High level of professionalism, discretion, and judgment
  • Exceptional interpersonal skills and attention to detail
  • Proficiency with Microsoft Office (Outlook, Word, Excel)
  • Ability to work onsite five (5) days per week
  • Flexibility to support occasional after-hours and weekend events
  • Bilingualism (French) preferred
