This is a Temporary Full Time position for 12 Months

Sinai Health is looking for an Administrative Coordinator to support the Women’s and Infants’ Health Programs.

About this team: Mount Sinai Hospital’s Frances Bloomberg Centre for Women’s and Infants’ Health, has forged a path to become the largest academic centre for women’s health in Canada. Our multidisciplinary teams specialize in high-risk pregnancy, with two-thirds of the pregnancies we care for each year considered to be high-risk. For 100 years, Mount Sinai has proudly delivered babies, supporting more than 7,000 births each year. The Family Integrated Care (FICare) program developed at Mount Sinai Hospital empowers caregivers to play an active role in caring for their preterm infant in the Neonatal Intensive Care Unit, and has been shown to help improve the well-being of both infants and their families.

In this role you will:

  • Provide high-level and confidential administrative coordination and support to the Senior Program Director, two Senior Directors for Women’s & Infants’ Health, and the associated team
  • Manage calendars by coordinating and scheduling appointments, exercising sound judgment in setting priorities, and consulting with leadership as needed
  • Prepare meeting agendas and record minutes
  • Coordinate virtual, phone, and in-person meetings, including booking rooms, equipment, and other logistics
  • Prepare materials, draft communications, and support the development of a weekly newsletter
  • Complete human resources request forms, employee action forms, and security access requests, while maintaining accurate employee files and an up-to-date fan-out list
  • Process invoicing and approvals, and track expenditures
  • Order special equipment and supplies
  • Serve as the Dayforce timekeeper for the leadership team
  • Assist in processing payroll and financial cost centres for the unit, assists with budgets
  • Assist with the development and preparation of forms, patient education materials and specialized documents related to various units
  • Perform other duties consistent with the job classification as required

Job Requirements

Job Requirements:

Mandatory

  • Successful completion of a undergraduate degree in a relevant discipline (e.g. Business Administration) from an accredited educational institution
  • 3 years' of previous experience in a senior administrative role
    • Applicants with proven recent and related training and experience may be considered

Preferred

  • Previous experience in a health care setting

Skills and Knowledge

  • Advanced computer skills including Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Software

  • Flexible with the ability to work efficiently in a fast-paced, multitasking and dynamic environment

  • Excellent interpersonal and oral/written communication skills

  • Professional, diplomatic and confident with a proven ability to work with individuals across all levels of the organization and with external stakeholders

  • Possesses a high level of accountability and proven capability to work with highly sensitive and confidential information

  • Superior attention to detail with proficiency in developing and editing written communications; excellent technical writing and documentation management skills

  • Proven experience in project management with a proficiency in research, report writing, proposal and presentation development

  • Excellent organizational and time management skills with the proven ability to manage competing demands

  • Demonstrated satisfactory work performance and attendance history
