About the role
The Wood Automotive Group is looking for an Executive Assistant to join our Head Office team!
The Executive Assistant will provide high-level administrative and strategic support, ensuring seamless day-to-day operations. This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs in a dynamic environment.
This candidate must have strong communication skills, with the ability to prioritize effectively and adapt while managing multiple tasks. Exceptional organizational abilities and advanced proficiency in the Microsoft Office Suite are also required.
Key Responsibilities
- Manage complex calendars, scheduling meetings and prioritizing competing demands
- Coordinate internal and external communications with professionalism and discretion
- Prepare presentations, reports, and briefing materials
- Assist executive team members with reports, travel arrangements, scheduling, and other administrative tasks
- Organize travel arrangements (book domestic and international flights, hotels, and transportation as needed), itineraries, and expense reporting
- Support meetings, including agenda preparation, note-taking, and follow-ups
- Act as a liaison between leadership and internal/external stakeholders
- Handle confidential and sensitive information with a high degree of discretion
- Coordinate meetings, including arranging catering, booking rooms, and ensuring all required audiovisual equipment is set up and functional.
- Plan and coordinate company social events, including organizing logistics, managing vendors and coordinating venues
- Assist with special projects and operational initiatives as needed
Qualifications
- 3–7+ years of experience in an Executive Assistant or senior administrative role
- Previous experience supporting a CEO or in a similar high-level executive support role
- Strong organizational and time-management skills with attention to detail
- Excellent written and verbal communication skills
- High level of professionalism and confidentiality
- Proficiency in Microsoft Office and/or Google Workspace
- Ability to multitask and adapt in a fast-paced environment
- Proactive, resourceful, and solution-oriented mindset
Preferred Qualifications
- Experience supporting senior executives or leadership teams
Requirements:
- Valid AB driver’s license and a clean driver’s abstract
- Strong background in Microsoft Office Suite
