The opportunity: Reporting to the Senior Investment Advisor, the Receptionist plays a key role in ensuring the smooth operation of the office. As the first point of contact for clients and visitors, this role provides essential clerical and administrative support, manages front-office activities, and helps maintain a professional, client-focused environment. The Receptionist contributes to the overall efficiency and service excellence of the team.

Key responsibilities include:

  • Greeting and welcoming visitors in a warm, professional manner—both in person and over the phone—ensuring all inquiries are answered or appropriately directed to the relevant team member.
  • Maintaining a clean, organized, and safe reception area by adhering to company procedures, health and safety guidelines, and workplace standards.
  • Managing all incoming and outgoing mail and courier deliveries, ensuring timely distribution and accurate record-keeping.
  • Monitoring and maintaining inventory levels of office supplies; proactively reorder stock to ensure uninterrupted operations.
  • Supporting basic banking operations, including deposits, withdrawals, and other routine financial tasks as required.
  • Providing general administrative support to various departments, including filing, data entry, photocopying, and document preparation.
  • Assisting with scheduling meetings, booking boardrooms, and coordinating calendars when needed.
  • Maintaining confidentiality and professionalism in all interactions with clients, staff, and external partners.
  • Contributing to a positive office environment by supporting team initiatives and assisting with special projects or tasks as assigned.
  • Performing other duties as assigned.

The ideal candidate will possess:

  • High school diploma or equivalent required.
  • Post-secondary education in business administration, office management, or a related field is an asset.
  • 1-3 years’ experience in receptionist role.
  • Proficiency with the MS Office suite, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Demonstrates a high level of accountability, adaptability, and innovation in achieving both day-to-day responsibilities and long-term goals.
  • Strong attention to detail.
  • Excellent attitude and commitment to providing exceptional service.
  • Exemplary interpersonal, influencing, and communication skills across multiple mediums (in-person, phone, virtual).
  • Strong problem-solving and critical thinking abilities.
  • Highly organized with a consistent and reliable work ethic.
  • Comfortable with ambiguity and able to manage a high volume of competing priorities.
  • Maintains the highest level of confidentiality.
