Position Summary

Casual Part-Time Support Staff new position

The Client & Pet Services Assistant will serve as a primary point of contact for client and pet bookings within the Pet Grooming Program. Responsibilities include supporting and growing client engagement through effective communication with prospective and existing clients, confirming appointments, facilitating check-ins, processing invoices and payments, and ensuring accurate and complete grooming records. The role also involves monitoring pet profiles for missing information, notifying clients as needed, and maintaining up-to-date records in the grooming management system.

Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement, scheduled up to 24 hours per week, Monday to Friday between the hours of 8:30 a.m. to 4:30 p.m., with 2-4 mornings (varies by need and semester) at the Doon campus located at 299 Doon Valley Dr. in Kitchener, and remaining time remote.

Responsibilities

Client communication and engagement

  • Respond to inquiries from prospective and existing clients via phone, email, or in person
  • Promote the Pet Grooming program by providing clear information on services, pricing, and availability
  • Conduct client Outreach, contacting pet owners, breeders, and shelters to assist in finding suitable pets for grooming

Appointment management

  • Schedule and confirm grooming appointments in the booking system
  • Facilitate client check-ins and ensure pets are properly logged upon arrival
  • Verify that all required pet details (e.g., breed, health notes, vaccination records) are recorded before the grooming session begins

Financial transactions

  • Prepare invoices, process payments, and issue receipts
  • Ensure accurate recording of transactions in compliance with program policies
  • Collect payment at check-out and reconcile daily transactions

Record maintenance

  • Monitor grooming records for completeness and accuracy
  • Notify clients of missing or outdated information in pet profiles and update records accordingly

Program support

  • Assist in building client numbers through proactive outreach and excellent service
  • Collaborate with grooming staff to ensure smooth operations and client satisfaction
  • Follow up with clients after appointments to gather feedback and encourage repeat bookings

Qualifications

  • One-year certificate in Business, Business Administration, Communications, or a related field is required
  • Minimum two years of relevant experience in a client-facing administrative or service support role is required, preferably within a pet services, veterinary, clinical education, or similar service-based environment
  • Experience in a teaching or training role would be considered an asset
  • Strong organizational and customer service skills
  • Must be comfortable around dogs and cats (direct handling is not required)
  • Must be comfortable talking with clients in person, on the phone and over email
  • Must have moderate computer skills evidenced by knowledge of a variety of computer software (for example, MS Office, Teams, Outlook) and a willingness to learn our Pet Grooming Management Software
